Job Summary

The Executive Assistant will support ownership and senior executives in managing day-to-day operations, providing administrative support to ensure efficient business operations. This role requires a high level of discretion, organization, and multitasking abilities.
Duties and Responsibilities
- Manage executive calendars, including scheduling and prioritizing meetings, calls, and appointments.
- Organize travel arrangements, including accommodations, itineraries, and necessary documents.
- Coordinate signature preparation and execution for various company documents.
- Prepare and edit documents, reports, and presentations, often with confidential information.
- Coordinate meetings, including arranging catering, technology, and materials.
- Assist with invoicing and expense tracking and report preparation as needed.
- Maintain records and files with high accuracy and confidentiality.
- Assist in maintaining office supply inventory and vendor relations.
- Conduct industry research and stay updated on trends to provide insights to executives.
- Other responsibilities to ensure a tidy and functional workplace.
- Perform other duties and tasks as required to support business goals.
Qualifications
- 5+ years of experience as an executive assistant, preferably in real estate or a related industry.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong organizational, multitasking, and communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Detail-oriented with strong time-management skills and ability to work independently.
- Experience working commercial real estate or legal industry preferred.
- Full-time, on-site position.
