Description
RiVidium Inc, (dba TripleCyber), is seeking a highly skilled and experienced Executive Assistant to provide comprehensive secretarial and administrative support to various levels. This role is integral to our operations and is considered key personnel.
Key Responsibilities:
- Provide a wide range of secretarial and administrative services, ensuring efficient correspondence tracking and management.
- Engage in regular interactions with executive staff, action officers, and other personnel to develop priorities, emphasize areas, determine the scope of projects, and establish internal deadlines in alignment with overall mission requirements.
- Assist in the performance of clerical and secretarial duties, requiring a comprehensive understanding of office routines and the organization's programs and procedures.
- Support the continuity of operations for the office, overseeing day-to-day administrative actions, including responding to public inquiries, onboarding/out-processing staff, and liaising for enterprise services.
- Handle short-lead suspense actions and correspondences, ensuring proper assignment and follow-up.
- Utilize Task Management Tools such as the Correspondence and Task Management System (CATMS) or similar systems for managing senior executives' calendars, coordinating meetings, and arranging travel using the Defense Travel System.
- Possess strong written and oral communication skills, with in-depth knowledge of grammar, spelling, punctuation, and required formats for military and standard business correspondence.
- Create and update Standard Operating Procedures (SOPs), manuals, organizational charts, quick reference guides, ceremonial invitations, awards, and certificates.
- Maintain office calendars, electronic mailboxes, and conference room schedules, set up meetings, and create meeting minutes.
- Track correspondence and suspense actions on NIPR and SIPR networks.
- Review correspondence prior to executive signature to assure compliance with applicable regulations and policies. Authorize to sign certain correspondence and procedural authorizations on behalf of the executive when authorized.
Qualifications:
- Minimum of six (6) years of executive administrative experience, preferably within a defense or government setting.
- Minimum of three (3) years of experience with Task Management Tools such as CATMS.
- Three (3) years of experience in managing senior executives' calendars, coordinating meetings, and arranging travel.
- Demonstrated knowledge of administrative, correspondence, and office practices.
- Familiarity with administrative policies and program goals.
- Proficiency in creating ad hoc reports, SOPs, staffing reports, and other administrative documents.
- Ability to maintain discretion and confidentiality in handling sensitive information.
- U.S. citizenship and the ability to obtain a security clearance if required.
