Addison Group is seeking a highly motivated and detail-oriented Administrative Assistant to join our client’s team. The Administrative Assistant will provide essential administrative and operational support to project managers, ensuring smooth workflow from the bidding phase through project completion. This role requires flexibility, strong organizational skills, and the ability to collaborate effectively with various teams.


Key Responsibilities:

  • Assist with bid preparation, including organizing and distributing bid drawings and creating contact lists for bidders.
  • Maintain and update project documentation, ensuring all files are accurate and accessible.
  • Process client contracts, subcontracts, purchase orders, and change orders.
  • Track and manage submittals, maintaining detailed logs and facilitating communication with architects and engineers.
  • Support project managers and superintendents by organizing workflows and addressing daily needs.
  • Assist in project completion tasks, including preparing warranty manuals, obtaining close-out documentation, and compiling as-built drawings for clients.
  • Adapt to various systems and tools to manage project data efficiently.

Qualifications:

  • 2-3 years of administrative or project coordination experience, preferably in construction or architecture, but not required.
  • Proficiency in Microsoft Office Suite and the ability to navigate various software systems.
  • Strong attention to detail, organizational skills, and a proactive mindset.
  • Flexibility to work in a dynamic environment and willingness to learn new processes.
  • Excellent communication skills and the ability to collaborate with diverse personalities.
  • A commitment to teamwork and a positive, "can-do" attitude.

Additional Details:

  • Schedule: Monday to Friday, 8:00 AM – 5:00 PM with a one-hour lunch break.
  • Start Date: Targeting January start date
  • Interview Process: Virtual initial interview with team members, followed by an in-office meeting with project managers.
