Under the direction of the COO, the Executive Assistant provides confidential administrative support and assistance to the COO, Board of Directors, the management team, and the community advisory and/or focus groups. Performs a wide diversity of work situations involving a high degree of complexity, determine the practices and procedures governing the position, and contributes to the development and application of agency administrative concepts and policies. Contacts frequently contain confidential/sensitive information necessitating discretion at all times. Work is performed independently with minimal supervision from the COO and considerable judgement is expected to be exercised in the execution of duties.
JOB DUTIES/RESPONSIBILITIES:
- Provide confidential administrative support and assistance to the COO, Board of Directors, and Agency staff and community partners
- Manage the day-to-day activities of the CEO to ensure compliance with legal requirements, agency objectives, policies, and procedures
- Oversee the business meeting schedules of the CEO and Board of Directors; coordinate, develop, and arrange agendas for meetings.
- Participate as a scribe for the executive leadership team meetings
- Answer telephones and greet visitors for the COO’s office
- Prepare correspondence not requiring the COO’s personal attention.
- Coordinate communications with Board members, staff, other agencies, and community partners
- Assist with community events, including yearly gala
- Perform other related duties as assigned
MINIMUM QUALIFICATIONS:
· At least five solid years in a high level administrative support position providing high level support to C-suite level executives.
· Public sector environment preferred
· Proficient in Microsoft Suite, (Word, Outlook, Excel, PowerPoint, Publisher, etc.), database, and graphics programs is essential
· Time management skills
· Resourceful, can-do attitude
· Excellent verbal and written communication skills, interpersonal skills, and computer skills required.
· Must be detailed oriented, strong organization skills and ability to multitask.
· Thrives in a fast-paced environment
· Comfortable interacting with high-level executives
· Energetic and eager to tackle new projects and ideas
