Job Overview:As an Administrative Assistant, you will oversee daily office operations, manage financial processes, support human resources functions, and ensure compliance with government requirements. This position requires a proactive, detail-oriented professional who can handle multiple responsibilities, support team members, and contribute to the company’s operational excellence.
Key Responsibilities:Administrative Support- Answer and direct phone calls with professionalism
- Organize and schedule meetings, appointments, and maintain updated contact lists
- Develop and maintain a structured filing and documentation system
- Manage accounts payable and receivable processes
- Prepare, monitor, and reconcile invoices, expense reports, and other financial documentation
- Generate financial and operational reports using QuickBooks Online or similar accounting software
- Oversee office supply inventory and ensure timely procurement
- Coordinate office equipment maintenance and repairs
- Supervise office cleaning services and address facility needs
- Handle mail pick-up, drop-off, and shipments
- Manage operational errands to support office functionality
- Assist the Director of Operations with recruitment efforts, including job postings, pre-interviews, and scheduling
- Coordinate and support the onboarding process for new employees
- Maintain and organize employee files, ensuring compliance with documentation requirements
- Collaborate on internal human resources projects, including policy updates, training programs, and team engagement initiatives
- Assist in maintaining compliance with government regulations, including timely renewals of licenses and certifications
- Prepare and submit required documentation for government contracts and services
- Track and ensure completion of compliance deadlines and requirements to maintain eligibility for government projects
- Bachelor’s Degree or equivalent experience required
- Minimum of 3 years in an office management and administrative role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks Online or similar accounting software
- Bilingual in English and Spanish is preferred
- Strong time management and organizational skills
- Excellent written and verbal communication abilities
- Proven ability to work independently, solve problems proactively, and escalate issues when necessary
- Experience meeting deadlines and managing multiple projects effectively
- Detail-oriented, resourceful, and adaptable in a dynamic work environment
- Ability to foster relationships within a team and support operational and human resources excellence
