JOB GOAL:
To assist the Buildings and Grounds Supervisor and Payroll & Benefits operations while maintaining a well-organized professional office with a professional atmosphere.
PERFORMANCE RESPONSIBILITIES:
- Receives and routes incoming calls and correspondence.
- Creates and completes correspondence, notices, memorandums and reports, receives and distributes daily mail, and processes district communications.
- Prioritizes workload and meets deadlines.
- Maintains a well-organized up-to-date filing system.
- Operates all business machines necessary to complete reports and clerical work required in the operation of the office.
- Responsible for oversight and scheduling of use of facilities for outside organizations as per Board Policy 7510 and Board Regulation 7510.
- Responsible for the administrative support for the Supervisor of Building and Grounds for the management and control of maintenance and custodial goods and contracts, services and equipment, studies and analyses of the cost, value, product utilization, storage and distribution of equipment and supplies, and work orders assigned through automated reporting systems.
- Works with Supervisor of Buildings & Grounds on data entry and compiles reports from Trouble Tracker work order system.
- Assists Supervisor of Buildings and Grounds to coordinate all custodial and maintenance work completed in the buildings and on school grounds.
- Assists Supervisor of Buildings and Grounds to secure custodial coverage for after school co-curricular events, school athletic events, and absent custodians. Maintains an up-to-date spread sheet detailing coverage.
- Assists the coordination of in-service training programs for custodial staff.
- Assists the coordination of asbestos management and Right-to-Know programs.
- Maintains a log of current insurance certificates from outside organizations and vendors.
- Assists the processing of purchase orders as they pertain to buildings and grounds.
