We are seeking a highly motivated and organized Executive Assistant to join our team at our Boba Franchise. As the Executive Assistant, you will be responsible for providing high-level administrative support and assisting with accounting-related responsibilities. The ideal candidate will be sharp and assertive in their characters to oversee and ensure that everything in the office runs smoothly.

Responsibilities:

  • Provide executive-level administrative support, including scheduling appointments, managing correspondence, and coordinating meetings and events

  • Manage and maintain accurate and organized financial records, including accounts payable and accounts receivable

  • Oversee the daily operations of the office, including managing the office calendar and ordering supplies

  • Assist with the preparation of financial reports, such as profit and loss statements and balance sheets

  • Conducts research, compiles data, and prepares papers for consideration and presentation by executives.

  • Performs general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.

  • Support the accounting team with data entry, reconciliations, and other tasks as needed

  • Support the management team with various projects and tasks as needed

  • Handle confidential information with discretion and professionalism

  • Attends meetings and records minutes

  • Reads and analyzes incoming memos, submissions, and reports to determine their significance and then distributes to the appropriate individual.

  • Prepares agendas and makes arrangements, such as coordinating catering for luncheons and other meetings.

  • Manages and maintains executives' schedules.

  • update project progress on project management program (Asana)

  • Answers phone calls and directs calls to appropriate persons or takes messages.

 

Qualifications:

  • Bachelor's degree in Business Administration or a related field

  • 3+ years of experience as an executive assistant or in a similar role

  • Strong skills in accounting and financial management

  • Proficiency in Microsoft Office and accounting software, such as QuickBooks

  • Excellent communication and interpersonal skills

  • Ability to work independently and prioritize tasks effectively
