Job Overview:
Schwartz Mazda is seeking a highly organized and proactive individual to join our team as the Executive Assistant and Chief of Staff. In this role, you will be responsible for providing executive support to the Owner and General Manager while also overseeing the coordination of various business functions. The ideal candidate is a detail-oriented professional with excellent communication and multitasking skills.
Key Responsibilities:
- Executive Support:
- Manage the Owner and General Manager's calendars, appointments, and meetings.
- Coordinate travel arrangements and accommodations.
- Prepare and organize documents, presentations, and reports.
- Office Management:
- Oversee daily office operations and ensure a smooth workflow.
- Act as a point of contact between the executive team and other departments.
- Handle confidential and sensitive information with discretion.
- Communication:
- Draft and edit correspondence, emails, and other written materials.
- Facilitate communication within the executive team and across departments.
- Respond to inquiries and requests on behalf of the Owner and General Manager.
- Project Management:
- Take the lead on special projects as assigned by the executive team.
- Monitor project timelines and ensure deliverables are met.
- Collaborate with various departments to achieve project goals.
- Chief of Staff Duties:
- Serve as the primary liaison between the executive team and other staff members.
- Streamline communication and decision-making processes.
- Participate in strategic planning and decision-making discussions.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Assistant or in a similar role.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Ability to handle confidential information with integrity.
- Proficient in Microsoft Office Suite and other relevant software.
- Previous experience in a Chief of Staff role is a plus.
