Job Title: Executive Secretary of Human Resources
Reports To: Chief Human Resources Officer
Dept/School: Central Administration Office
Work Year: 226 days
Base Salary: $44,900 Salary will be calculated based on experience.
PRIMARY PURPOSE:
Organize and manage the routine work activities of the Human Resources Department office and provide clerical support to the Chief Human Resources Officer and other staff members.
QUALIFICATIONS:
Education/Certification:
High school diploma or GED
Some college preferred
Special Knowledge/Skills:
High level of proficiency in keyboarding, word processing, and file maintenance
Strong, effective organizational, communication, and interpersonal skills
Ability to use software to develop spreadsheets and databases and do word processing
Ability to prioritize workflow to address the multiple needs of the supervisor or the department
Ability to multi-task numerous complex administrative activities
Basic math skills
Willingness to collaborate with members of an office team
Ability to disseminate information effectively and efficiently to large groups
Ability to develop spreadsheets, databases, and power points
Ability to maintain confidentiality of information
Ability to work independently and problem solve as needed
Experience:
Three years administrative support experience, preferably in a public education environment
MAJOR RESPONSIBILITIES AND DUTIES:
Records, Reports, and Correspondence:
Prepare correspondence, forms, and various reports, including budget reports for the Chief Human Resources Officer and other department staff members.
Compile pertinent data and disseminate information as needed.
Maintain shared calendars and schedule appointments using Microsoft Outlook.
Schedule department appointments and process requisitions.
Maintain physical and computerized department files.
Assist with maintenance of information in employee database.
Prepare and distribute employment contracts.
Compile, prepare, maintain, and file all reports, records, and other documents as required.
Accounting:
Perform routine bookkeeping with department budget.
Assist with the preparation of purchase orders and payment authorizations.
Monitor and process department personnel time records; compile information and submit to appropriate individuals.
Other:
Greet visitors and assist employees and District guests as needed and respond to incoming calls, take reliable messages, and route to appropriate staff.
Schedule travel arrangements for department staff as needed.
Receive, sort, and distribute mail and other documents to department staff.
Maintain a schedule of appointments and assist with scheduling interviews and meetings.
Make meeting arrangements for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment.
Maintain confidentiality of information.
Complete other duties as required by the Chief Human Resources Officer.
OTHER DUTIES AS ASSIGNED:

Work with frequent interruptions; maintain emotional control under stress.
