We are seeking a highly skilled and proactive Executive Assistant to the CEO to join our leading commercial real estate and fund management firm. This is more than just an administrative roleit's an opportunity to act as the CEO's trusted partner, driving key initiatives, ensuring operational excellence, and representing the firm at the highest level.

WHAT YOULL DO:
In this role, you will be instrumental in enabling the CEO to focus on strategic priorities by managing complex schedules, leading high-impact projects, and ensuring seamless communication across stakeholders.
- Be the CEO's Operational Anchor:
- Manage and prioritize the CEOs demanding schedule, ensuring time is allocated effectively across strategic priorities.
- Anticipate needs, prepare briefings, and follow through on critical action items to keep initiatives on track.
- Proactively identify and address potential distractions.
- Orchestrate High-Impact Operations:
- Serve as a gatekeeper and liaison, balancing the flow of communication between the CEO, internal teams, and external stakeholders.
- Coordinate board meetings, investor presentations, and high-stakes negotiations with precision and discretion.
- Lead Projects and Initiatives:
- Partner with the CEO to drive key projects from concept to completion, ensuring timely delivery of results.
- Conduct research, analyze data, and provide actionable insights to support decision-making.
- Elevate Team Productivity:
- Implement systems and tools that streamline operations, improve efficiency, and enhance collaboration.
- Identify and resolve bottlenecks in workflows, allowing the CEO and team to operate at their best.
- Office Manager Responsibilities:
- Oversee office operations, ensuring a professional, efficient, and welcoming environment.
- Manage supplies, vendors, and facilities, addressing any operational needs.
- Greet visitors with professionalism and hospitality
- Maintain the reception area, ensuring a clean, organized, and business-ready environment.
- Sales Development Support (for the CEO):
- Assist in identifying and researching potential business opportunities or partnerships.
- Help prepare materials, correspondence, and follow-ups to support the CEOs business development efforts.
- Personal Assistant Responsibilities:
- Scheduling non-work appointments.
- Planning personal travel, vacations, and events.
- Managing personal purchases, RSVPs, and coordinating subscriptions/memberships.
- Filing personal documents and tracking expenses.
- Managing prescriptions, running errands, and serving as the gatekeeper for personal communications.
- Exercise the highest level of discretion and confidentiality in managing personal and professional matters.
- Represent the CEO and the Firm:
- Build and maintain relationships with investors, clients, and industry leaders as a professional ambassador for the CEO.
- Represent the CEO in meetings or events when needed, ensuring the firms vision and values are communicated effectively.
- Own the Details:
- Handle travel arrangements, expense reports, and correspondence with exceptional attention to detail.
- Organize and maintain confidential files, agreements, and records critical to the firm's operations.

- Experience: 5+ years supporting C-suite executives, preferably in private equity, commercial real estate, or finance.

- Savvy: A knack for navigating complex business landscapes and maintaining discretion in sensitive matters.
- Technology: Proficiency in Microsoft Office Suite, project management tools, and CRM platforms.
- Adaptability: Comfortable in a fast-paced, ever-changing environment with shifting demands.
- Communication: Polished verbal and written communication skills, with the confidence to represent the CEO and firm professionally.
