Administrative Assistant

Reports to: VP of Operations


Rackson Restaurants is seeking a highly organized and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will be responsible for providing administrative support and facilitating communication amongst cross functional teams (Operations, HR, Finance, and IT). This is an on-site position based in Bridgewater, NJ.

What You’ll Do: Responsible for clerical functions and administrative support within different areas of the business. Essential functions include:

  • Attend and participate in meetings, take comprehensive meeting minutes, and distribute them to stakeholders promptly.
  • Provide administrative assistance for meeting preparations, travel arrangements, and other executive-level tasks.
  • Provide administrative support to the HR department, including document preparation, filing, data entry, and maintaining employee records.
  • Responsible for pre-boarding tasks, including drafting offer letters, adjudicating background check, and sending out cross-departmental communication.
  • Responsible for drafting promotion letters and approval of internal promotion process and workflow.
  • Support rehire process, including drafting rehire offer letters and sending out communication to all involved departments.
  • Assist in social media management, including creating and scheduling posts.
  • Responsible for stores license permits renewal and responds to violations.
  • Systems hierarchy management and access (Alarm, Office Supply for stores, Uniform, Camera, Everfi, Teams).
  • Maintenance of organization chart, including field operations and corporate.
  • Create communication collateral, such as presentations, brochures, and hiring materials.
  • Managing company shared calendar.
  • Organize office lunches and coordinate team events.
  • Other projects and tasks as assigned.

What Will Make You Successful:

  • Associate or bachelor’s degree in business administration or related field is a plus.
  • 3-5 years of experience as an Administrator or similar role.
  • Availability to work weekends and late nights as required by business needs.
  • Proficient in operating Microsoft Office applications, including Word, Excel, Outlook, SharePoint and PowerPoint.
  • Strong attention to detail and excellent organizational skills.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and ability to work collaboratively in a team environment.
  • Exceptional problem-solving and decision-making abilities.
  • Familiarity with HRIS and ATS systems is preferred.
  • Ability to work independently and work well as part of a team.
  • Self-starter, able to independently solve problems; resourceful.
  • Excellent written and verbal communication skills in English with the ability to communicate clearly and professionally.
  • Computer savvy. Able to quickly learn new software programs.
  • Bilingual in Spanish is a plus.
  • Travel Requirements – Ability to travel 30% of the time for work-related duties.
  • Physical Requirements – Ability to communicate clearly via phone including hearing and talking. Ability to perform sedentary work such as computer-based work. Ability to utilize close visual acuity such as for creating and analyzing data/spreadsheets, word documents, graphics design, and reports. Ability to utilize fine motor skills with the fingers, such as typing and tying knots. Ability to lift up to 25 lbs. Ability to work in an office environment.
