Our client is seeking a highly skilled Executive Assistant | Personal Assistant to support a wide array of business and personal operations. This role is ideal for someone who is highly organized, tech-savvy, thrives on managing complex schedules, coordinating events and projects, handling diverse tasks, and is committed to maintaining the confidentiality of this Executive.


Key Responsibilities:

  • Financial Oversight: Manage and track bills, expenses, and investments; collaborate with financial advisors and CPAs to optimize financial strategies and ensure tax compliance.
  • Scheduling & Organization: Maintain calendars, coordinate daily activities, and keep the family informed of key events. Assist with vacation planning, travel arrangements, and activity scheduling.
  • Project Coordination: Oversee personal and business-related projects, including property management, construction initiatives, and event planning.
  • Administrative Support: Track documents, respond to communications promptly and handle errands, including shopping, deliveries, and appointment scheduling.
  • Technology & Tools: Implement software solutions to improve workflow, such as email management and website updates for businesses and foundations.
  • Event Management: Assist with professional, charitable, and personal events, including planning, logistics, and gift purchasing.
  • Property & Asset Management: Support home maintenance, vehicle tracking, and manage local help as needed, including travel to secondary properties.
  • Child & Pet Care: Be comfortable assisting with children's schedules and activities and ensuring the care of pets and livestock.

Qualifications:

  • Minimum of 10 years supporting a C-suite Executive.
  • Proven ability to handle sensitive information with discretion and willingness to sign an NDA.
  • Clean background check and valid driver's license with a good driving record.
  • Flexible availability, including occasional travel and extended hours.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with accounting software like QuickBooks (training provided if needed).
  • Strong communication skills with a proactive approach to problem-solving.
  • Experience with project management and event coordination is a plus.
  • Comfortable around children, animals, and flexible in diverse environments.
