Your primary responsibility will be to provide administrative support for our regional leadership team and office staff. Most importantly, someone who has a keen sense of customer service as you will be "the face" of Christman at the front desk for external callers and office visitors including our clients and partners.
What You Will Do:
As a Regional Administrator, your primary daily responsibilities of this role will include, but are not limited to:
Produce Regional Office Documents
- Create, edit, format, and update project documents from project team member drafts and input.
- Copy, collate, and bind project documents and reports following Christman templates and standards. Arrange for outside reproduction services when necessary.
- Craft business letters for review and approval by project team members.
- Proofread final products to verify professional impact including correct spelling, punctuation, and grammar.
- Maintain and update all vehicle registration, titles, and insurance.
Manage Regional Office Communication
- Receive, review, and forward vendor invoices and payments.
- Assist team members with specific needs as required on a project-by-project basis.
- Arrange all office events/parties throughout the year.
Manage Postal Deliveries
- Receive, screen, and distribute incoming correspondence.
- Coordinate mail exchange with local Christman regional and/or project office.
- Prepare and send outgoing mail and parcels.
Greet Callers and Visitors
- Answer telephone calls and assist callers or route to appropriate team members.
- Greet visitors and provide assistance or direct to appropriate team members.
- Be a friendly face and voice to portray the image in which the company takes pride.
Coordinate Conferences and Technology
- Schedule meetings and conference calls.
- Schedule conference rooms for meetings.
- Arrange/set up needed technology meetings.
- Order lunch as necessary.
Manage Administrative Inventory
- Maintains administrative and general office supplies and equipment for the regional office.
- Ensures office is stocked with safety supplies.
- Responsible for petty cash handling and balancing.
Other Miscellaneous Duties
- Coordinate regional onboarding activities for new hires.
- Coordinate travel and hotel accommodations for the leadership team.
- Administer employee badging for federal projects.
- Register and keep calendars updated for the leadership team for regional and local events.
- Organize and send safety equipment to project sites.
- May submit payroll information for regional employees.
- Update and maintain job lists.
What You Will Bring to the Team:
Required experience, knowledge, and skills for this role include (Must Haves):
- Associate's Degree in business or related field.
- Minimum two (2) years' experience in a related job field.
- OR Equivalent combination of the above education, training, and experience.
Preferred Education and Experience (Nice to Haves)
- Associate's Degree in business or related field.
- Administrative certification and professional credentials.
- Previous construction administration experience.
- Knowledge of Procore software.

- Proficient in Microsoft Office, with expertise in Microsoft Word, PowerPoint, Excel, and Outlook.

Work Environment and Physical Demands:
The position will be conducted in a temperature-controlled professional office environment, with moderate noise. The role will routinely use standard office equipment such as computers, phones, photocopiers, and filing cabinets. While performing the duties of this role the employee is regularly required to talk, listen, sit, walk, reach, kneel, stoop, crouch, use hands and fingers to handle or feel and to operate a computer and telephone keyboard, and maintain visual acuity. The employee may occasionally be required to lift and or carry lightweight objects under 20 pounds. The ideal candidate must be able to complete all physical requirements of the job with or without reasonable accommodation.
