Title: Executive Assistant
Company: Rapidly growing SaaS company, $50M+
Location: 100% remote-must be in the Boston or surrounding area
Must Haves:
- 5+ years EA experience, including supporting a top executive (CEO and/or President)
- Experience in a growth-oriented ''scale up'' stage type of company
- Tech savvy ( G Suite/Google Workspace and Slack). Ability to troubleshoot systems and also learn new ones.
- Ability to move fast

Executive Assistant
Responsibilities:
- Oversee CEO communications with precision and attention to detail, including drafting and sending emails on behalf of the CEO, coordinating company-wide messages, and managing sensitive investor, board, and M&A correspondence.
- Ensure the confidential handling of all tasks and communications, maintaining the utmost professionalism and discretion.
- Manage office and calendar activities, including handling requests, scheduling, and follow-ups, demonstrating exceptional administrative and organizational skills.
- Provide logistical and detailed support to the Executive Leadership Team (ELT) on an ad hoc basis, including international travel arrangements and onsite meeting coordination, excluding daily calendar management.
- Lead board meeting preparation and logistics, including:
- Before the Meeting: Coordinating, collecting, editing, finalizing, and disseminating slide decks; arranging travel and accommodations for attendees; and organizing dinner/events.
- Day of the Meeting: Setting up the room with AV equipment and refreshments, and providing in-person support for any additional needs.
- Plan and execute monthly ELT gatherings, managing travel, accommodations, meeting space coordination, catering, and calendar blocking for seamless in-person meetings.
- Organize and coordinate company-wide events, fostering a positive employee experience, and collecting feedback to improve future events.
- Manage CEO expense reports with accuracy and efficiency.
- Provide support on CEO-led projects, requiring detailed analysis and data-driven insights.
- Assist in implementing and tracking key initiatives and programs to drive organizational objectives.
- Collaborate cross-functionally with departments such as IT, HR, and Security to support organizational needs.
- Offer additional support to other departments as required, ensuring smooth operations across the company.
Qualifications:
- Proven career professional with over five years of experience directly supporting a CEO, demonstrating consistent success and earning strong references from previous executives.
- Highly skilled in executive-level administrative support, with a strong track record of managing complex responsibilities with discretion and professionalism.
- Exceptionally diligent, organized, and tech-savvy with a strong sense of prioritization, confidentiality, and self-motivation.
- Excellent communicator, adept at delivering concise, clear, and thorough messages tailored to diverse audiences, including employees, executives, board members, investors, and M&A stakeholders.
- Advanced verbal and written communication skills, fostering clarity and professionalism in all interactions.
- Proficient in G-Suite (Drive, Docs, Slides) and Slack, with a demonstrated ability to quickly adapt to and master new software and systems.
- Strong emotional intelligence, enabling effective understanding and facilitation of executives’ daily schedules, priorities, and needs.
