The Accounting Assistant will process invoices and payments, reconcile vendor statements, receive and post tenant rent payments, prepare tenant monthly billing statements, and other essential functions of accounts payable and accounts receivable. He/she will assist in month-end and year-end closing processes and perform a variety of administrative accounting tasks and other special projects as assigned.

ESSENTIAL FUNCTIONS/TASKS:

  • Receive, date stamp, and route department mail.
  • Process invoices including scanning invoices into the Yardi system and assigning vendor code, expense account, job number, and data entry.
  • Route invoices for approval.
  • Work with Regional and Corporate Accounting offices to meet weekly check run deadlines.
  • Reconcile vendor statements. Follow up on outstanding invoices and investigate and report unusual transactions or requests.
  • Maintain paid invoice files; facilitate annual archival records.
  • Receive and post tenant rent payments.
  • Prepare deposit slip and deliver to bank.
  • Prepare and mail out tenant billback invoices and monthly tenant statements.
  • Enter tenant billing adjustments as needed.
  • Generate and mail out tenant over/short payment notifications.
  • Prepare and review various accounts payable and accounts receivable reports.
  • Assist in month-end and year-end closing processes including reviewing general ledger transactions, account reconciliations, and running various financial reports.
  • Provide back-up for other accounting staff during absences and busy times.
  • Other related duties and special projects as assigned.
Experience, training, skills required:
  • A minimum of 2 years accounts receivable and accounts payable experience.
  • Knowledge of generally accepted accounting principles.
  • Applicable knowledge of Excel and other MS Office applications.
  • Accurate and proficient with computer keyboard and 10-key.
  • Real estate or property management experience preferred.
  • Yardi software experience a plus.
  • Organized, analytical, detail oriented, and capable of handling multiple tasks and meeting deadlines.
  • Excellent written and verbal communication skills.
  • Team player with strong work ethic, interpersonal skills, and ability to work cooperatively across departmental line.
  • Flexibility to change work assignments and priorities at a moment's notice.
Education:
  • Some college level courses or certificate programs are preferred.

  • None.

  • No travel required.
