Then consider working for the Illinois Department of Revenue. We are hiring an Executive Secretary I for our Alcohol, Tobacco, & Fuel Division (ATFD) located in Springfield IL. This position supports the work of the Division by performing secretarial and clerical duties, such as composing letters, memos, and reports; assisting with mailing projects; completing a variety of personnel forms; initiating requests for equipment, services, and supplies; and maintaining timekeeping records for staff. Essential Functions

  • Under direction, performs administrative secretarial duties for the Division Manager and administrative staff in the Alcohol, Tobacco & Fuel Division (ATFD) of the Account Processing Administration (APA).
  • Performs complex clerical duties requiring independent decision-making.
  • Serves as Division timekeeper.
  • Serves as receptionist for the Division.
  • Coordinates reporting and special project assignments for the Division Manager.
  • Maintains budget records for the Division Manager relative to personal services, equipment, overtime, etc.
  • Attends and participates in Division Staff meetings.
  • Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
Minimum Qualifications
  • Requires knowledge, skill and mental development equivalent to completion of two years of secretarial or business college and one year of secretarial experience -OR- completion of high school and three years of secretarial experience.
  • Requires ability to keyboard accurately at a rate of 55 wpm.
Qualifying state employees in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this class.

Preferred Qualifications
  • Intermediate proficiency working with Microsoft Excel or similar spreadsheet software.
  • Intermediate proficiency working with Microsoft Word or similar word processing software.
  • Two (2) years customer service experience such as resolving customer complaints, resolving service issues, and answering general questions.
  • One (1) year of experience working with standard office equipment.
  • One (1) year of experience composing correspondence, memos, etc., using standard business terminology, including tax, accounting, and legal terminology.
Conditions of Employment

  1. Requires the ability to successfully complete a tax compliance and fingerprint-based background check.
  2. Requires the ability to use and secure a state issued mobile device, e.g., cellular phone, laptop computer, tablet, etc.
  3. Requires the ability to push/pull a cart with materials for delivery to work areas within the building.
  4. This position is considered medium work as defined by the U.S. Department of Labor (20 CFR 404.1567(c)). Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds.
