Job Description:
The Office Assistant will be responsible for managing front-office duties, supporting administrative tasks, and ensuring the construction office runs smoothly. This includes answering phone calls, greeting visitors, handling correspondence, daily mail, and packages, assisting with various office and construction project-related administrative needs. While upholding strict confidentiality.
Key Responsibilities:
- Greet and welcome visitors, contractors, and clients, providing exceptional customer service.
- Answer and direct phone calls, take messages, and provide information as needed.
- Maintain a clean, organized, and welcoming front office area.
- Manage incoming and outgoing mail and packages, ensuring prompt distribution.
- File and maintain construction project documentation, contracts, and permits.
- Support procurement of office supplies, materials, and equipment as needed.
- Provide general administrative support, including data entry, document preparation, and filing.
- Assist with project coordination tasks, including consulting with subcontractors and vendors.
- Perform other administrative duties as assigned.
Qualifications:
- High school diploma or equivalent; associate’s degree or administrative certifications preferred.
- Previous experience in an administrative role, preferably in a construction environment.
- Strong verbal and written communication skills.
- Proficient in MS Office Suite (Word, Excel, Outlook) and general office equipment (copiers, fax, scanners, phones etc.)
- Ability to multitask and prioritize effectively in a dynamic environment.
- Strong organizational skills and attention to detail.
- Positive, proactive attitude who can work independently and also as a team player.
- Experience with construction terminology or project management software.
- Notary license a plus.
Physical Requirements:
- Ability to sit or stand for extended periods.
- Ability to lift and move light office supplies or materials (up to 25 lbs.).
