We are offering an exciting opportunity for an Executive Assistant near Parsippany, New Jersey. In this role, you will be vital in supporting the CEO by maintaining the executive's schedule, preparing for meetings, and assisting with organizational projects within the industry.


Responsibilities:

• Handle the executive's calendar, scheduling appointments and travel arrangements with precision.

• Ensure smooth operations within the office, troubleshooting any administrative issues that may arise.

• Assist with human resources and payroll oversight, ensuring all operations align with CEO initiatives.

• Prepare and manage correspondence, ensuring the secure handling of confidential information.

• Facilitate effective communication between the CEO and the leadership team, managing action items from leadership meetings.

• Collaborate on the creation and maintenance of social media posts and thought leadership content, staying updated with industry trends.

• Organize internal and external events, coordinating speaking engagements and media opportunities.

• Manage logistics for board meetings and public engagements, ensuring all details are meticulously taken care of.

• Collect and summarize operational, sales, and financial metrics, preparing reports and presentations for meetings.

• Assist with the implementation of EOS, tracking key actions and providing updates on organizational goals.

• Support cross-departmental projects and maintain external relationships, ensuring effective communication and coordination.

• Candidate must have a minimum of 7 years of experience in an Executive Assistant role or similar and prior c-suite support experience.

• Proficiency in Concur software is a must for handling expense reporting.

• Experience with CRM systems is required for managing client relationships.

• Excellent calendar management skills are required to effectively schedule and organize meetings and appointments.

• Strong communication skills are essential for liaising with various stakeholders.

• Experience in handling conference calls, including scheduling and troubleshooting, is necessary.

• Ability to handle correspondence professionally and timely is crucial.

• Demonstrated experience in providing administrative assistance to high-level executives is required.

• Proficiency in coordinating meetings, including venue selection, agenda preparation, and minute taking is necessary.

• Experience in event planning is desirable for organizing company-wide events and team-building activities.

• Ability to take detailed and accurate meeting notes is necessary.

• Experience in creating and managing social media content is a plus.

• Ability to handle confidential correspondence with discretion and professionalism is essential.
