We are offering a part time contract as an Administrative Assistant in Parsippany, New Jersey. This role is within the tax industry, with a focus on providing essential support to tax professionals, managing data and documents, and overseeing administrative functions.


Responsibilities:

• Facilitate the workflow process and update the tax database on a daily basis to support tax professionals.

• Handle special projects and prepare correspondence as assigned by tax professionals.

• Professionally welcome visitors and manage client intake, including inbound document scanning for tax preparation.

• Manage and monitor electronic documents and client correspondence posted to the portal.

• Identify, organize, and bookmark client documents within Adobe and related products.

• Ensure accurate tracking and recordkeeping while e-filing tax returns.

• Oversee the annual archiving of client tax returns/documents and office files.

• Perform data entry into various tax software and ancillary programs, including spreadsheet preparation and maintenance.

• Manage office supplies and equipment, provide billing support, and handle general administrative functions.

• Deliver finalized tax returns via electronic portal or client mailings.

• Proven experience in answering inbound calls in a detail oriented manner.
• Strong customer service skills with a focus on client satisfaction.
• Proficiency in data entry with attention to detail and accuracy.
• Demonstrated ability to manage email correspondence efficiently and in a detail oriented manner.
• Experience in handling both inbound and outbound calls.
• Proficient in Microsoft Excel for data organization and financial tasks.
• Familiarity with Microsoft Outlook for managing emails, contacts, and calendar.
• Ability to create presentations using Microsoft PowerPoint.
• Proficiency in drafting documents and correspondence using Microsoft Word.
• Experience in scheduling appointments, meetings, and managing calendars.
