We are seeking a meticulous Administrative Assistant to join our team at a CPA Firm. In this role, you will manage a significant volume of paperwork related to tax documents, oversee electronic communication with clients, and ensure the efficient organization of documents for the tax preparers.


Responsibilities


• Oversee the organization and management of tax documents

• Perform scanning procedures and save files in an organized manner

• Take responsibility for assembling tax documents for clients

• Download files as part of the job function

• Dispatch correspondence to clients in a timely and detail-oriented manner

• Maintain a high level of confidentiality at all times

• Answer inbound calls efficiently and provide excellent customer service

• Execute data entry tasks proficiently

• Manage email correspondence effectively

• Handle both inbound and outbound calls with detail-oriented approach

• Use Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word

• Schedule appointments as needed

• Supervise federal income tax related tasks

• Must possess strong skills in answering inbound calls, ensuring customer queries are handled efficiently.
• Excellent customer service skills to foster positive relationships with clients.
• Proficient in data entry tasks, ensuring accuracy and attention to detail.
• Ability to manage email correspondence effectively, ensuring timely responses and maintaining professionalism.
• Experience in handling both inbound and outbound calls, showcasing excellent communication skills.
• Proficient in Microsoft Excel, capable of handling complex data manipulation and analysis tasks.
• Proficient in Microsoft Outlook, capable of managing schedules, email communications, and contacts.
• Proficient in Microsoft PowerPoint, capable of creating impactful presentations.
• Proficient in Microsoft Word, capable of creating, editing, and formatting documents.
• Ability to schedule appointments effectively, ensuring smooth operations in the office.
• Familiarity with federal income tax laws and regulations, as relevant to a CPA firm.
