Our Instant Power® brand of products consists of plumbing drain chemicals and household cleaning solutions. Instant Power is seeking a versatile Executive Assistant to join our company. The Executive Assistant will provide project administration and executive support to the President. Prepare reports, support executive communications, handle information requests, and perform administrative functions such as preparing correspondence, calendar management, and travel arrangements.

You will perform a variety of duties and tasks and may be directed to prepare or handle additional administrative tasks as needed.

This is an in-Office Position only.

Essential Duties & Responsibilities 

  • Provide daily confidential support to the President.
  • Manage and maintain the outlook calendar including appointments, travel, meetings, conference calls, etc.
  • Draft, prepare and edit oral and written communication in the form of notes, letters, reports, spreadsheets.
  • Perform routine administrative responsibilities as directed.
  • Manage the content of PowerPoint decks, for strategic meetings on a regular basis.
  • Review in detail all material to ensure accuracy of information, and consistency.
  • Manage meetings ensuring all required materials, food and beverages are available and meet the required quality based upon agreed deliverables.
  • Assist in preparing Word and PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
  • Pull and create weekly Excel reports and distribute them to key personnel.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.
  • Conserve the leaders' time by reading, researching, collecting and analyzing information as needed, in advance.


Qualifications

  • 5+ years of related experience required in working in an executive assistant role or a role with similar requirements.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Ability to communicate effectively and professionally.
  • Ability to support hours as dictated by the needs of business for projects and meetings
