COUNTY OF BUCKS JOB TITLE: Secretary JOB CODE: 0430 DEPARTMENT: Adult Probation and Parole UNION: 05 FLSA STATUS: Non-Exempt GRADE: 5 POSITION SUMMARY: Perform various administrative and secretarial duties including analysis and routing of filings, backup to the receptionist (telephone, walk-ins, mail receipt and distribution). Performs a wide variety of skilled tasks and functions as required by the various stakeholders in the Adult Probation and Parole department. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: Must be able to maintain complete confidentiality. Must have excellent organization skills, be able to work without direction, and work effectively with the public and other Court offices. Must have expertise in the use of a personal computer and must be comfortable accessing online databases. As required, enter/receive data on computer terminal Screens and refers telephone calls and clients to the appropriate area. Assist with the compilation of information, reports and programs. Possess good telephone skills, to take messages, and keep probation officers aware of any new development. Ability to learn and perform clerical tasks within the framework of established office procedures. Ability to work independently on difficult clerical tasks without constant direct supervision. Ability to plan and organize work duties and work priorities within established parameters. Work effectively with other public and private agencies and institutions. As needed, perform routine filing and file maintenance duties. Organize and process incoming/outgoing office mail. Types forms, letters and other key department documents. Perform other duties as assigned QUALIFICATIONS REQUIRED: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. High School diploma or equivalent, paralegal certification and/or Associate's Degree preferred with an emphasis on business/secretarial or computer courses with knowledge and understanding of business English and math. Proficient computer skills (Microsoft, Excel, Access, Power Point, etc.) required; will be trained on departmental information management system and the statewide case management system (CPCMS). Must possess strong and effective interpersonal skills. Two years clerical or secretarial experience. Typing skills -- minimum 45 wpm.
