The Office Manager provides comprehensive administrative and clerical support, maintains, and improves the technical systems of the organization to ensure smooth day-to-day operations.

Position Summary: The Grace Hospice Office Manager provides administrative support and oversees technology systems throughout the organization. The Office Manager provides comprehensive administrative and clerical support, maintains, and improves the technical systems of the organization to ensure smooth day-to-day operations.
Job Responsibilities:
- Offer technical support to Grace Hospice staff and troubleshoot IT issues in collaboration with IT contractor (Cassia)
- Maintain and track IT equipment and ordering of new equipment
- Anticipate and report the cost of replacing or updating technology devices
- Review diagnostics and assess the functionality and efficiency of systems
- Coordinate with IT contractor (Cassia) to advance agency technologies, providing quarterly IT reports/updates, logging of concerns
- DocuSign administrator
- Zoom administrator
- Google docs administrator
- Maintain computer and manual filing system
- Take accurate meeting minute notes
- Develop and update administrative systems to make them move efficient
- Manages phone system and ensures accessibility for callers 24/7
- Onboarding tasks (employment verification, background checks and finger printing)
- Orientation tasks (obtain professional license, driver’s license, auto insurance, vaccination records and new hire paperwork)
- Meeting and calendar management (i.e. room reservations, set-up, etc)
- Invoice submittal and claim review
- Generate Reports
- Management of Donor Perfect
- Keep inventory and order office supplies
- Other duties as assigned
- Bachelor’s degree preferred
- Outstanding ability to prioritize in a setting that is fast-paced at times
- Strong interpersonal and communication skills with ability to handle confidential information in a professional manner
- Proficient in MS Office and comfortable learning new applications
- Proactive approach, strong work ethic and excellent coachability
