Job Description
The Executive Assistant serves as part of the Administration team for the Hispanic Health Council. The incumbent will provide high-level administrative support to our executive team. Coordinates calendars, scheduling meetings/calls. Prepares and edits correspondence, reports, and presentations with accuracy and detail. Coordinates and organizes events and conferences, including logistics, catering, and attendee management. Manages documentation of Board meetings and other administrative office agendas. Manages incoming and outgoing communications, including emails, messages, etc. Assists with special projects and initiatives, including research, analysis, and data collection. Provides backup support to other administrative staff, as needed. Represents the executive team in a professional and positive manner, demonstrating discretion, confidentiality, and sound judgment. Performs related work as required.
The hours of work are 21-28 per week.
Knowledge, Skills, and Abilities
• Knowledge of administrative practices in a health & wellness initiative organization.
• Knowledge and ability to work with executive staff in a fast-paced environment
• Knowledge of technical platforms (Microsoft Suite: Excel, Teams, etc.)
• Demonstrated discretion in handling confidential information.
• Ability to work independently with a people of diverse cultures, ages, and economic backgrounds
• Ability to display provide excellent services to the community and partners
• Ability to make routine decisions and determine appropriate action(s)
• Ability to work flexible work hours including pre-scheduled nights and weekends
• Strong communication and organizational skills
Qualifications
Bachelor's Degree in Business Administration, Marketing, Communications, or related field and two (2) years of experience in an Executive Assistant or administrative support role.
Bilingual - Spanish required.
