Job Title: Administrative Assistant

Job Overview: We are seeking an organized, detail-oriented, and proactive Administrative Assistant to support our team and ensure smooth day-to-day operations. The ideal candidate will provide administrative support by managing office tasks, scheduling meetings, handling correspondence, and assisting with various projects to enhance productivity and efficiency.

Key Responsibilities:

  • Perform general office duties such as filing, data entry, and document management.
  • Answer and direct phone calls, take messages, and respond to emails.
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Prepare and proofread documents, reports, and presentations.
  • Assist with travel arrangements, including booking flights and accommodations.
  • Coordinate internal and external communications and ensure timely follow-up.
  • Support team members with various administrative tasks and ad-hoc projects.
  • Maintain a clean and organized office environment.
  • Assist with invoicing, billing, and maintaining expense records.
  • Handle confidential information with discretion and professionalism.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment (fax, copier, etc.).
  • Strong organizational skills with the ability to multitask and prioritize.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.
