Personal Assistant (Artist) Division: Family Office Location: Chelsea, NY 10011 Salary: $100,000 - $120,000 Schedule: Monday – Friday, with the flexibility to work weekends during any special events. Benefits: Full benefits package, including health insurance, paid vacation, sick days, 401K with matching, and performance-based bonus. ________________________________________ Position Overview A private individual seeks a highly skilled, proactive, and detail-oriented Personal Assistant to serve as their "right hand." This role involves managing both professional and personal aspects of the artist's life, ensuring smooth daily operations, and executing a wide range of responsibilities with precision and discretion. The position offers the chance to lead a diverse team, manage innovative projects, and contribute to a world of art, luxury, and culture. ________________________________________ Responsibilities Project Management and Operations • Oversee all daily operations, including the management of the artist’s private household, four painting studios, a two-story sculpture gallery, and six UOVO art storage units. • Lead and coordinate a team of 9 full-time staff, including archivists, studio assistants, drivers, chefs, and security personnel. • Plan, implement, and manage efficient workflows, planning processes, and budgeting systems to support all operations. Travel Coordination • Arrange all domestic and international travel for the artist, staff, and relevant parties, including flights, accommodations, ground transportation, and itineraries. • Ensure seamless coordination of travel logistics, including handling visas, passports, and customs requirements. • Accompany the artist on occasional trips, providing hands-on support during travel. Team Leadership and Development • Recruit, onboard, and train new staff members, fostering a strong team spirit and a collaborative work culture. • Organize team training sessions to enhance skills and operational efficiency. Relationship Management • Serve as the primary point of contact for all VIP relationships, including concierge doctors, private specialists, and luxury service providers. • Cultivate and grow cross-industry relationships to expand the artist’s network and opportunities. Event Planning and Production • Plan and execute large-scale events, such as life celebrations, holidays, and special occasions. • Manage event details, including menu design with chefs, floral arrangements, lighting, décor, and personalized gifting. Procurement and Vendor Management • Hire and oversee vendors, ensuring high-quality work and adherence to deadlines. • Handle all holiday gift-buying, including sourcing luxury goods from couture fashion houses, coordinating deliveries, and crafting personalized handwritten notes. Artistic and Creative Oversight • Design and supervise significant projects, such as studio renovations and fine art gallery installations. • Collaborate on the acquisition and establishment of new art studios. Administrative Collaboration • Work closely with the CFO and COO on various professional and financial projects. • Maintain meticulous inventory records and stay informed of trends in the couture fashion industry. ________________________________________ Qualifications and Requirements • Experience: Minimum of 5-7 years in a similar role, ideally working with high-profile individuals or within luxury, creative, or artistic environments. • Education: Bachelor’s degree from a top-tier university such as Columbia, Yale, Harvard, Princeton, or another prestigious institution. • Skills: Exceptional organizational, leadership, and multitasking abilities; strong communication skills, both written and verbal; proficiency in handling confidential and sensitive information. • Knowledge: Familiarity with luxury goods, event planning, interior design, and construction project management preferred. • Traits: Proactive, adaptable, discreet, detail-oriented, and capable of managing a high-pressure environment with grace and professionalism. • Technical Proficiency: Strong skills in project management software, inventory systems, and standard office applications. • Valid US Work Authorization SOCIETY STAFFING 379 West Broadway, 2nd Floor New York, NY 10012 Agency DCA License 2008231 646.681.4777 | societystaffing.com
