This role is part-time and required to be in the office Tuesday-Thursday. The possibility of full-time employment (with hybrid schedule, working from home Monday and Friday) can be discussed during the interview.
Summary:
This is a part-time (with possibility of full-time) position that provides administrative support to the Office Management/Operations Department of Armada. This person will directly report to the Executive Assistant of ArmadaGlobal for supervision purposes.
Tasks/Responsibilities:
- Field incoming calls, screen and direct calls as appropriate; provide information to callers; take and deliver messages accurately and completely.
- Greet visitors, determine their needs and direct appropriately; offer refreshments when suitable.
- Maintain visitor register; monitor visitor access, issue and monitor visitor badges, and maintain security awareness. ensure back up when absent from reception desk
- Monitor and control inventory relevant to responsibilities: order, receive, stock and distribute office supplies and groceries
- Organize and maintain the cleanliness of the common functional areas - copy room, kitchen and pantry, latte lounge, lobby and conference rooms.
- Manage mail and deliveries - receive deliveries; coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Monitor, maintain, schedule service or repair of all office equipment & appliances including printers, copiers, vending machines, postage meter, kitchen appliances. This position serves as the contact for Armada with various vendors and suppliers.
- Property Management / Facilities – under the direction of the Executive Administrator, serve as the point of contact for repair service and maintenance of the office. Report damages, schedule and oversee repair work and crew, monitor progress.
- Provide administrative support to the Executive Administrator and the Director of Human Resources: preparing correspondence and documents and other items as requested. Assist on special projects and corporate events as requested.
- Co-organize activities; arrange catering for meetings and other events under the direction of the Executive Administrator and the Director of Human Resources
- Occasionally provide admin support to various units when requested. (For example, the receptionist will provide support to the Sales and Marketing teams with printing and binding sales presentations; mail merges and envelopes; marketing lists.)
- Such other duties or tasks to assist the department of organization as the supervisor may deem necessary.
Skills/Requirements
- Intermediate level of proficiency in Microsoft Office programs – MS Outlook, MS Word, Excel, PowerPoint
- Excellent verbal and written communication skills; good command of the English language, oral and written, and communicate with confidence and clarity
- Professional personal appearance – neat and well-groomed – and professional telephone manner is essential.
- Must be able to work in a fast-paced environment with demonstrated ability to handle multiple tasks.
