SUMMARY: The Executive Assistant position is responsible for performing administrative duties of a complex/confidential nature for the COA including schedule/meeting coordination, composing, and typing correspondence, maintenance of confidential documents, screening phone calls/visitors, and other duties as necessary. JOB DUTIES AND ESSENTIAL FUNCTIONS: Perform complete administrative secretarial functions for the COA. Interpret and adapt guidelines, practices, and policies. Assist in coordinating the COAs daily priorities, appointments, calendar, tasks, meetings, deadlines, etc. Daily review, coordination and anticipation of COAs needs, calendar, tasks as well as confirm, coordinate, and organize corporate meetings. Screen incoming visitors, phone calls, communication and direct to COA for relevance, prioritization and importance. Screen COAs mail from outside and within organization. Assist with completing deadlines, creating documents, assignments, gathering reports, and initiate communication on behalf of COA. Handle highly confidential matters. Working with top level executives in work situations. Exercise discretion concerning schedule changes, changing priorities and meeting interruptions. Provide telephone relief for others in the area as necessary. Perform other duties and special projects as assigned. WORKING CONDITIONS: Air-conditioned office environment. Consistent and timely attendance is required to ensure uninterrupted operational efficiency and exemplary service delivery. PHYSICAL DEMANDS: Sit for extended periods of time. Walk, stand, bend, squat, twist, and reach. Simple grasping and fine manipulation. Extended keyboarding. MINIMUM REQUIREMENTS: High School Diploma or equivalent.
