Basic Purpose:
To provide in-office administrative support to designated Fixed Income team members and serve as backup support for all Fixed Income investment teams.
Primary Responsibilities: Team Support: Provide primary administrative support to the designated Fixed Income team members. Collaborate with the Fixed Income administrative team to alleviate workload and provide backup during temporary vacancies of team members. Calendar and Meeting Management: Manage and coordinate calendars using Microsoft Outlook. Organize and coordinate virtual and on-site meetings. Handle meeting logistics, including securing locations, managing participant schedules, and ensuring proper meeting setup. Travel Arrangements: Coordinate travel arrangements, including booking flights, accommodations, and transportation. Arrange visas and meetings for travel as needed. Visitor Protocols: Ensure proper visitor protocols are followed for office visitors. Communication and Follow-up: Communicate and follow up on requests, deadlines, and action items. Subscription and Membership Management: Request and manage new subscriptions and renewals for the team. Renew professional memberships as required. Document and Administrative Support: Obtain necessary wet or e-signatures for required documents. Prepare and edit materials using Microsoft PowerPoint, Word, and Excel. Create and process purchase requisitions using Ariba. Complete and submit expense reports in Concur. Additional Support:
Assist with ad hoc projects and initiatives as assigned. Provide phone and message support to the team. Perform office tasks such as printing, copying, scanning, and filing materials. Sort and distribute incoming mail. Maintain and order office supplies as needed. Job Requirements:
Education and Experience: Bachelor’s degree preferred. A minimum of 5 years of related experience is preferred.
Skills:
Excellent verbal and written communication skills. Highly organized with strong attention to detail. Ability to juggle multiple tasks and prioritize effectively. Self-confidence with the ability to interact with senior-level management. Strong organizational skills, capable of working independently and within a team . Technical Skills:
Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Familiarity with Adobe Pro, AdobeSign, and DocuSign. Ability to learn and work with various applications used by the Fixed Income team. Other Requirements:
Ability to maintain strict confidentiality and manage sensitive information. Ability to thrive in a fast-paced environment and handle multiple tasks efficiently.
