Job Summary

The Contracts Specialist facilitates productive relationships with project owners and subcontractors to ensure the efficient and complete execution of contract administrative items

Reports to

Estimating Administrative Manager

Key Communication Partners

Director or Risk Management and Corporate Counsel, Vice President of Estimating, Estimating Administrator, AR Specialist, Project Managers, Project Engineers, and Area Managers

Typical Duties Set up job number and corresponding information in G Drive, Vista, and HeavyJob Perform contracts administration of Subcontractors, Purchase Orders, Insurance, Bonds, and business licenses Download HCSS budget into Vista and HeavyJob as requested Assist the Project Manager/Engineers with follow-up as time permits Track expired certificates of insurance, contract return date, master subcontracts, and purchase order status Process internal insurance certificates at renewal time Follow up on OCIP status for Subcontractors Process/scan insurance certificate and preliminary notices Perform annual renewal of city business licenses Ensure trucker and annual subcontract agreements are current Organize contracts administrative duties to optimum efficiency Maintain positive business relationships with clients and business partners Internally help foster an efficient productive environment by getting to know coworkers Provide assistance to other departments as needed Ensure that all correspondence is always professional Notarize contract documents as needed Research programs to increase document tracking accuracy Requires experience with Vista by Viewpoint Qualifications

Education and Experience: high school diploma or GED preferred

Language Skills: must be able to read and write in English

Mathematical Skills: understanding of basic business math

Reasoning Ability: apply common sense understanding to carry out multiple step instructions with standardized situations with occasional variables

Computer Skills: ten-key by touch; must type at least 50 wpm, must be fluent with Microsoft office suite. Individuals in this position will also need to be able to learn new technologies as they evolve or are implemented

Interpersonal Skills: the ability to interface and collaborate with a wide variety of people including clients, employees, managers, and agencies

Compensation:

$30 - $35 an hour, based on skills, experience, and knowledge
