Job Summary: Perform and accurately execute the day-to-day financial operations of the Indianapolis Art Center, including recording and maintaining accurate fund accounting records related to AR & AP, cash transactions and internal grant reporting. Also includes facilitation of the budget process, and coordination of the annual audit. Serves as the primary contact in the office for all Accounting & Financial functions as well as primary contact for Activenet/Amelia (POS) system. This is a full-time in office position.

- Perform all necessary Accounts Payable functions thru MIP and/or RAMP.com
- Serve as primary approver in RAMP.com
- Enter vouchers in MIP for demand checks
- Upload Positive Pay transactions when necessary and clear Positive Pay & ACH Exceptions
- Review Accounting Mailbox for invoices & statements, distribute to Managers
- Daily Entry of Front Desk Reports via MIP or import file
- Prepare Development Reconciliations and work with Development Manager to complete
- Reconcile all cash deposits including ACH, PayPal, Eventbrite, Stripe, Trellis, and Square to facilitate account reconciliations.
- Monthly Sales Tax Filing and NP-1 requests thru INTIME.
- Record all monthly credit card transactions thru MIP or RAMP.com
- Prepare customer invoices and follow up on past due accounts
- Is the back up to the Executive Manager for the preparation and processing of all cash and check deposits to proper funds and restrictions for deposit. Coordinate with Development, Events, Education and Guest Services
- Prepare Payroll Journal Entry monthly
- Prepare and generate ad hoc financial analysis and grant reports as requested by VP of Development, VP of Education and/or any of the Department heads.
- Serve as backup for processing bi-weekly payroll.
- Assist the Dean Dorton with preparing for the Art Center's annual audit and 990, fiscal management of the Broad Ripple Art Fair and other events, financial management of other external reporting (Grants - Government reporting - Census), and other projects and programs as directed.
- Issue annual IRS forms such as 1099-MISC, 1099 NEC, & 1095/1096.
- Facilitate annual Budget Process
- Attend meetings and conduct necessary correspondence to manage the Art Center's accounting records accurately and effectively.
- Prepare necessary financial forms and reports, as required.
- Knowledge and experience using Abila (Sage)-MIP Fund Accounting or other Non-Profit financial software strongly preferred.
- Familiarity with ActiveNet or another POS system a plus.
- Proficiency in Excel and Word.
- Strong mathematical and analytical skills.
- Ability to read and analyze financial reports.
- Experience with ADP or similar payroll software preferred.
- Excellent written and verbal communication skills.
- Undergraduate degree in accounting or finance required, or a combination of education, training, and experience in a non-profit, fund accounting environment equivalent to a degree.
- At least 2 years work experience in accounting, preferably nonprofit finance, in addition to undergraduate degree.
- Must be able to mobilize freely about the work site and perform routine physical and manual tasks associated with the position.
- Must be able to work effectively with co-workers in a fast paced, team environment.
