We are looking for a Talent Acquisition Coordinator who will manage important administrative tasks such as processing requisition approvals, coordinating interviews, and maintaining the shared Talent Acquisition inbox. The coordinator will handle confidential information, ensure compliance with federal onboarding regulations, process background checks, and assist with onboarding new hires through ADP Workforce Now (WFN). In this fast-paced role, you'll liaise with leadership for hiring approvals, help create job descriptions, process I-9s through E-Verify, and ensure the timely completion of onboarding documents. This role requires attention to detail, strong organizational skills, and ability to balance multiple tasks will help streamline our recruitment process and enhance the overall candidate experience.
Responsibilities: Responsible for managing customer order book, on time deliveries, and expediting hot orders Provide daily administrative assistance to the Director and Talent Acquisition team, including scheduling meetings, organizing interviews, and maintaining recruitment calendars Schedule interviews, coordinate job fairs, and collaborate with team members to attract top talent Post job openings on various job boards and social media platforms to attract a diverse pool of candidates Assist with managing job advertisements on various platforms Maintain accurate candidate records and documentation in the applicant tracking system (ATS) Ensure seamless communication with candidates and hiring managers throughout the recruitment process for a positive candidate experience Organize and schedule interviews with candidates and internal stakeholders, ensuring all parties are well-prepared Process background checks, and reference checks for candidates Welcome new hires on their first day of onboarding, ensuring they feel comfortable and have the resources they need to start successfully Assist with the onboarding of new hires, including coordinating paperwork, and processing I-9s through E-Verify File onboarding documents into new hires' profiles, ensuring compliance with internal processes Communicate with the leadership team to obtain approvals for New Hire Requisitions and Request to Fill exceptional approvals Collaborate with hiring managers to create and update job descriptions for open positions Ensure accurate and up to date candidate application status in the applicant tracking system (ATS) Maintain and update accurate recruitment reports on key metrics such as time-to-hire, cost-per-hire, and application status Input, track, and maintain recruitment data in the ATS, and assist with generating weekly recruitment reports Keep the shared Talent Acquisition inbox organized, responding to inquiries and emails in a timely manner Ensure candidates can handle confidential information, and ensure compliance with federal and state employment laws and regulations Performs other duties as assigned Qualifications:
Bachelor's degree in Business Administration, Human Resources or related field 1-2 years of administrative experience, preferably in HR or talent acquisition SHRM or HR Certification is a plus Enthusiasm for talent acquisition and an interest in the field of HR is a plus Ability to support and manage their time for each upcoming projects Highly proficient in MS Office (Word, PowerPoint, Excel) Great knowledge Internet searching and AI tool Excellent verbal & written communication skills Proven ability to work both independently and collaboratively with different levels of employees Strong organizational skills and attention to detail Ability to work in a fast-paced environment and handle multiple priorities Ability to maintain confidentiality and handle sensitive information Ability to meet deadlines quickly and accurately, multi-task, and work well under pressure with changing priorities
