Days: 5-day Work Week • Alternating Saturdays • Sundays off
Hours: Mon-Fri:10am-7pm • Sat: 8am-2pm
Position Summary:
We are looking for a determined, industrious, and reliable Executive Assistant to perform a variety of administrative and personal functions supporting senior-level management. The ideal candidate is enthusiastic, goal oriented, and upholds El Milagro’s core values of Quality, Integrity, and Family.
Primary Responsibilities:
- Conserve executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
- Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Act as the point of contact among executives, employees, clients, and other external partners.
- Manage information flow in a timely and accurate manner.
- Manage executives’ calendars and set up meetings.
- Make travel and accommodation arrangements.
- Write and/or format information for internal and external communication – memos, emails, presentations, reports, and manuals.
- Take minutes during meetings.
- Screen and direct phone calls and distribute correspondence.
- Organize and maintain the office filing system.
- Filter and organize email including spam.
- Assist hands-on with manual projects and events.
Position Requirements:
- Fluent in Spanish.
- Flexible availability including weekends (when necessary) and late hours regularly.
- 1+ years of work experience as an Executive Assistant, Personal Assistant, or similar role.
- Excellent MS Office knowledge.
- Outstanding organizational and time management skills.
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines).
- Excellent verbal and written communications skills and grammar in both English and Spanish.
- Discretion and confidentiality.
- High School diploma.
- Strong interpersonal skills with the ability to build very good working relationships with managers, coworkers, and customers.
- Valid driver’s license.
- PA diploma or certification is a plus.
