Days: 5-day Work Week • Alternating Saturdays • Sundays off
Hours: Mon-Fri:10am-7pm • Sat: 8am-2pm

Position Summary:

We are looking for a determined, industrious, and reliable Executive Assistant to perform a variety of administrative and personal functions supporting senior-level management. The ideal candidate is enthusiastic, goal oriented, and upholds El Milagro’s core values of Quality, Integrity, and Family.

Primary Responsibilities:

  • Conserve executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Act as the point of contact among executives, employees, clients, and other external partners.
  • Manage information flow in a timely and accurate manner.
  • Manage executives’ calendars and set up meetings.
  • Make travel and accommodation arrangements.
  • Write and/or format information for internal and external communication – memos, emails, presentations, reports, and manuals.
  • Take minutes during meetings.
  • Screen and direct phone calls and distribute correspondence.
  • Organize and maintain the office filing system.
  • Filter and organize email including spam.
  • Assist hands-on with manual projects and events.

Position Requirements:

  • Fluent in Spanish.
  • Flexible availability including weekends (when necessary) and late hours regularly.
  • 1+ years of work experience as an Executive Assistant, Personal Assistant, or similar role.
  • Excellent MS Office knowledge.
  • Outstanding organizational and time management skills.
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines).
  • Excellent verbal and written communications skills and grammar in both English and Spanish.
  • Discretion and confidentiality.
  • High School diploma.
  • Strong interpersonal skills with the ability to build very good working relationships with managers, coworkers, and customers.
  • Valid driver’s license.
  • PA diploma or certification is a plus.
