A Day in the Life

The Administrative Assistant will provide general office operations management and support in the day-to-day operations of their assigned department. They should be proficient in Microsoft Office Suite, specifically Outlook, Excel, Word, and PowerPoint. The Administrative Assistant must have strong organizational and interpersonal skills and be a self-starter to work independently in an office environment. They should exercise good judgment and have the ability to handle multiple projects at the same time while maintaining tight deadlines. Some travel may be required.

What You'll Be Doing

Office Support Services:

  • Responsible for day-to-day office management of one of Lendistry's offices.
  • Provide world-class customer service to our TEAM and guests for all office and facility needs.
  • Ensure all equipment is functional and maintained. Contact vendors as needed.
  • Respond to TEAM requests received by email, Teams, telephone calls, or other communication promptly and courteously, with a customer service focus.
  • Manage all mail and couriers, including but not limited to preparing courier packages, coordinating pick-up and delivery, confirming delivery/receipt with appropriate stakeholders, and resolving any related issues in a timely manner.
  • Assist with records management to include onsite/offsite storage (Iron Mountain) facilitation and coordination of shred bin pick-up service.
  • Participate in the wellness/life/safety functions by scheduling required events such as fire drills, floor wards, CPR/AED training.
  • Maintain meeting room schedules, assist with meeting set-up/breakdown, which may include assistance with food/beverage set-up (where applicable) as well as clean up.
  • Ensure contracted services provided by outside vendors (cleaning services, food services, etc.) and building services (janitorial, parking, badging, interior and exterior furnishings, etc.) are meeting contract standards.
  • Maintain office environment, including managing inventory of office supplies, break room, coffee, tea and water supplies. Keep common office areas stocked with supplies and clean; this includes copy /supply/mail areas, pantries, conference rooms, meeting rooms, huddle rooms and all other ancillary meeting spaces.
Administrative Support Services:
  • Assist management with administrative tasks such as scheduling, maintaining calendars and setting reminders for upcoming events.
  • Designing and producing documents, reports, and presentations.
  • Scheduling, collecting, and preparing information for meetings with staff and outside parties.
  • Composing and preparing correspondences.
  • Making travel arrangements.
  • Completing expense and mileage reports.
  • Track TEAM time, attendance, and ensure team members are present for their scheduled desk reservations in accordance with established guidelines.
  • Understand the management of the IVR system (8x8) for line management (pull reports, reassign agents to another line).
  • Ensure that the appropriate technology is leveraged to effectively execute all tasks.
  • Serve as the primary point of contact on all matters pertaining to the department.
  • Facilitate communication, helping to establish and maintain meeting cadence and team culture.
  • Coordinate and administer department initiatives.
  • Travel to other Lendistry offices, as required.
  • Participate in special ad-hoc projects and perform other duties as assigned.
Your Areas of Knowledge and Expertise
  • Bachelor's degree preferred.
  • 1+ years of administrative experience.
  • Excellent organizational skills.
  • Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment.
  • Proficient knowledge in all areas of Microsoft Suite.
  • Self-motivated with critical attention to detail, deadlines, and reporting.
  • Good judgment is essential.
  • Familiarity with using the internet for research tasks.
  • Strong communication skills, both verbal and written.
  • Ability to work overtime as necessary.

COMPENSATION RANGE

The US base salary range for this full-time position is $25.00-$31.00 USD an hour.

Our salary ranges are determined by role, level, and location.

Within the range, individual pay is determined by multiple factors like job-related skills, experience, and state of residence. PHYSICAL REQUIREMENTS

This is a stationary position that requires frequent sitting (approximately 95%), repetitive wrist motions, grasping, speaking, listening, close vision, and the ability to adjust focus. It also may require occasional standing, lifting, carrying of 20lbs or less, walking, kneeling, bending/stooping, twisting, pulling/pushing, and reaching above the shoulder. Employees in this position must be physically able to efficiently perform the essential functions of the position.
