Job Summary:
We are seeking a highly organized and professional Onsite Executive Administrative Assistant to support our administrative team in a fast-paced environment located in Richmond, VA. The ideal candidate will have exceptional organizational skills, strong communication abilities, and prior administrative experience. This role involves managing various administrative tasks, maintaining confidentiality, and ensuring seamless operations for the team.

Qualifications:

  • Education:

    • Required: High school diploma or equivalent.

    • Preferred: Business school or college degree.

  • Experience:

    • Required: Previous secretarial and/or administrative experience, or a suitable combination of training and experience.

    • Advanced Microsoft Office skills (Word, Excel, Outlook) are essential.

  • Skills:

    • Exceptional organizational skills.

    • Professional demeanor and communication abilities.

    • Proficiency with scheduling tools, meeting management, and email correspondence.

Physical Requirements:

  • Ability to sit, stand, and walk as required (approximately 60% sitting, 20% standing, 20% walking).

  • Manual dexterity and the ability to handle multiple priorities under pressure.

Work Environment:

  • Work is performed indoors in a comfortable environment with good ventilation.

  • The role involves handling multiple priorities and making decisions under pressure.

Preferred Traits:

  • Professionalism appropriate for hospital administration.

  • Strong organizational skills, including experience with scheduling tools and calendar management.

  • Previous administrative assistant experience.

Key Responsibilities:

  • Answer and route telephone calls in a professional manner.

  • Handle complaints courteously and professionally.

  • Manage incoming mail, including opening and distributing it appropriately.

  • Attend and record departmental or staff meetings as assigned.

  • Draft and manage correspondence for the administrative team.

  • Maintain and organize accurate filing systems.

  • Schedule appointments and coordinate individual meetings.

  • Complete tasks assigned by supervisors promptly.

  • Communicate effectively with other administrative staff, department managers, physicians, and officers.

  • Maintain strict confidentiality regarding administrative activities, patients, and employees.

  • Assist in managing Medical Directorship contracts and Physician Service Agreements (PSA).

  • Anticipate and initiate tasks to ensure smooth workflow without requiring direct supervision.

Pay Details: $30.00 to $31.00 per hour
