Facility Operations and Planning FLSA Status: Non-Exempt Salary Range: Grade 10: $20.57/hour Position Summary The University of Southern Indiana is accepting applications forDesign Associate. Responsible for creating and updating architectural drawings and bid documents; coordinating documents for project closeout; furniture, fixtures and equipment (FF&E) research, procurement, delivery coordination, and confirmation of delivery receipt; overseeing interior and exterior signage; assisting in creation and updating of university design standards; and assisting Planning and Operations departments with administrative functions. Learns basic functions of Facility's Administrative Associate to fill in for this position during an absence. Duties/Responsibilities Creates and maintains records of past and current projects, project budget and costs; shop drawings and specifications; product and construction warranties; systems maintenance and parts manuals; finish schedules and materials; closeout documentation; etc.
Works with Facility Operations and Planning (FOP) management to design, prepare and/or order interior room signage, interior and exterior directional signage, and exterior building signage.
Updates building floor plans and campus site plans.
Coordinates preparation of project bid documents with FOP staff, and vendor design firms to ensure accuracy and timely completion. Reviews, organizes and updates Plan Room website. Posts project bidding notifications, addendums and other pertinent information to Plan Room site. Reviews bids for alternates and variations from bid documents.
Coordinates project closeout procedures including project punch lists; verification of substantial completion; and receipt of closeout documents.
Works with FOP staff, campus customers and vendor design professionals to coordinate FF&E selection, finishes, and ordering of FF&E.
Research information for potential projects, architectural, engineering and design firms, project materials, FF&E, design and sustainability trends, etc.
Coordinates and performs annual review of standards for design, construction, FF&E, materials and finishes, accessories, landscaping, etc.
Creates and maintains database of building interior and exterior finishes, materials, FF&E, landscaping, campus maps, evacuation maps, and floor plans, etc.
Creates and maintains spreadsheets, charts and graphs on various staff and facilities information, such as staff data, organizational charts, and building interiors data.
Reviews project and furniture requests for necessary additional information and works with Planning department to prioritize completion. Corresponds with customer to seek more information and update request status.
Creates change order and requests for information (RFI) lists, monitors payments to design and construction firms.
Works with Planning department to determine improvements to USI processes and practices.
Maintains files of qualified architecture, engineering and design firms; prepares requests for qualifications and requests for proposals; solicits interest from firms/vendors and reviews submittals for appropriate information.
Maintains a spreadsheet of construction project updates, account numbers, budget and project status.
Helps shape the responsibilities of this position so it best benefits the University and Assists and fills in for absent Facility's Administrative Associates with accounting, work requests, requisitions, and other responsibilities or project work when necessary.
Other duties as assigned. Required Knowledge and Skills Associate degree or equivalent higher education in design, construction, or related field required. A minimum of four years of experience in a related design field may be considered in lieu of education.
Experience in AutoCAD required. Ability to learn/adapt to current and future university preferred software.
Ability to read and interpret building construction plans, specifications, documentation and shop drawings.
Knowledge of current methods and trends in architecture and design, FF&E, and space programming required.
Effective communication, customer relations and problem-solving skills required to respond to architectural and design issues on campus.
Preferred Knowledge and Skills Proficiency in other software such as Revit, SketchUp, Abode Creative Suite and Microsoft Office Suite preferred.
Knowledge of building codes, ADA regulations and other pertinent federal, state and local regulations preferred.
