Legal Administrative Assistant/Receptionist

We are seeking an experienced Legal Administrative Assistant/Receptionist to manage our front desk operations and provide exceptional administrative support within our Dallas law firm. This role is integral to our daily operations, ensuring smooth and effective functioning of our office environment. You will act as the face of the firm, greeting and directing visitors, managing communication flows, and supporting our legal team with various administrative tasks.

Salary: DOE per year

Essential Duties and Responsibilities:

  • Efficiently manage front desk activities including greeting clients and visitors, answering and directing phone calls, and managing mail and courier services.
  • Schedule meetings and reserve conference rooms, ensuring all participants have the necessary information and resources.
  • Provide comprehensive administrative support to attorneys and legal assistants such as document preparation, proofreading, filing, and data entry.
  • Oversee the ordering of office supplies and the maintenance of office equipment, ensuring operational needs are met.
  • Coordinate and arrange refreshments and necessary setups for meetings and firm events.
  • Assist in managing the office's administrative workflow, performing overflow tasks from other assistants and contributing to team efforts.
  • Uphold the professional appearance of the office reception area and conference rooms.

Minimum Position Qualifications:

  • 2+ years of experience in a law firm or legal setting as an administrative assistant or receptionist.
  • Exceptional customer service skills, emphasizing professionalism and empathy.
  • Highly proficient in the Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Capable of working independently as well as collaboratively within a team.
  • Demonstrated attention to detail with a focus on accuracy in all forms of communication and documentation.

Preferred Qualifications:

  • Experience with legal software and client management systems.
  • Background in managing sensitive or confidential information.
  • Ability to adapt to changing priorities and office needs.
  • Experience supporting multiple team members with diverse needs.
  • Strong problem-solving skills and the ability to think critically.
