Position: Part-Time Assistant

Reports To: CHRO

Employment Status: Full-Time, Exempt

Office Location: On-Site Corporate Office, NY

Job Summary

We are looking for an experienced Part-Time Assistant to provide office, administrative, and personal assistance to the Human Resources Department and Board Member.

Essential Responsibilities and Duties:

  • Answer all incoming calls to the HR line and disseminate information as required and record messages or dispatch to appropriate areas of the organization when necessary.
  • Schedule meetings on various topics and attendees as directed. Send agendas, reminders, and follow up if needed.
  • Scan, file, and copy documents as directed. Approximately 4-6 hours a day when in the office.
  • Process benefit claims for the Board Member.
  • Type up Board meeting notes as required.
  • Audit, process, and submit benefit claims to insurance carriers.
  • Submit all claims with proper documentation for reimbursement.
  • Assist with secretarial duties.
  • Act as Personal Assistant to the Board Member as needed.
  • Coordinate remittance of payments for health-related billing.
  • Attend HR meetings as needed.
  • Receive, organize, and redistribute incoming mail and deliveries on scheduled office days.
  • Greet and assist visitors on days in the office.
  • Order supplies and interoffice maintenance including the CHRO’s office.
  • Update organizational charts as directed.
  • Assist in assembling physical employee files.

Requirements/Qualifications:

  • Bachelor’s degree from a four-year college or university and experience supporting executives.
  • Writing and proofing skills are required.
  • Demonstrate the ability to multi-task, meet deadlines, and work well under pressure.
  • Must be well-organized with superior attention to detail.
  • Requires a high degree of initiative and professionalism.
  • Demonstrate a strong work ethic, reliability, and the ability to work well with minimal supervision.
  • Must be comfortable interacting with staff at all levels.
  • Must be able to quickly adapt to changing priorities.
  • Experience with Microsoft Office; Word, Excel, and PowerPoint.
