Candidate Profile and Qualifications
- Experience: Maintaining files, data entry, restocking supplies, answering phone calls, communicating over email and in person, being attentive to detail, working alongside upper management, and working in a fast-paced environment.
- Technical Skills: Proficient in Microsoft Office Suite.
- Soft Skills: Dependable, Professional, Proactive, and Organized.
- Education: Bachelor's Preferred, Relevant Experience Can Compensate.
- Proof of vaccination against Covid-19: Required, including booster.
Job Duties & Responsibilities:
- Greeting Visitors & Answering Phones:
- Welcome customers, job applicants, vendors, and other visitors.
- Determine and address their needs promptly and professionally.
- Answer and direct incoming calls.
- Provide accurate information to callers as needed.
- Updating Calendars and Scheduling Meetings:
- Prepare rooms for meetings and training sessions.
- Maintain and update calendars to ensure efficient scheduling.
- Clerical Tasks:
- Filing paperwork, scheduling appointments, answering phones, greeting visitors, and sorting and sending mail.
- Producing and distributing memos, letters, faxes, and forms.
- Responding to emails in a timely and professional manner.
- Taking messages and ensuring they are delivered to the appropriate destinations within the organization.
- Travel Arrangements:
- Booking travel arrangements.
- Arranging conferences and conference calls.
- Finances:
- Submitting and reconciling expense reports.
- Preparing and monitoring invoices.
- Approving expenditures within designated limits.
- Other Tasks:
- Ordering office supplies to maintain adequate inventory.
- Taking dictation and transcribing notes accurately.
- Researching and creating presentations.
- Providing information by answering questions and requests from colleagues and external contacts.
