Galen has offices in Boston, MA, Chicago, IL, and Burlington, VT. This position will report to our Chicago or Burlington office.

Job Summary:

The Administrative Assistant will provide administrative support to members of the management team as directed by the COO.

Duties/Responsibilities:

  1. Provide administrative support and assistance to the management team under the direction of the COO.
  2. Perform clerical and administrative tasks including, but not limited to, drafting letters, emails, SOWs and other documents for the management team under the direction of the COO.
  3. Assist in preparing presentations for the management team as directed by the COO.
  4. Assist with scheduling internal and external meetings as requested.
  5. Arrange travel and accommodations as requested.
  6. Perform office management duties to include ordering and maintaining office supplies, coordinating facility maintenance, HR support including coordinating training and onboarding as needed for all Galen offices.
  7. Assist with planning and coordination of company and team level events.
  8. Perform additional duties as assigned by management.
  9. Maintain confidentiality of all information.

Required Skills/Abilities:

  1. Excellent verbal and written communication skills.
  2. Excellent organizational skills and attention to detail.
  3. Excellent time management skills with a proven ability to meet deadlines.
  4. Ability to function well in a high-paced and at times stressful environment.
  5. Knowledge of office administration, clerical procedures, and recordkeeping systems.
  6. Extremely proficient with Microsoft Office Suite with the ability to learn new or updated software.

Education and Experience:

  1. High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
  2. At least two years of related experience required.

Physical Requirements:

  1. Prolonged periods of sitting at a desk and working on a computer.

Salary range: $60-65,000 commensurate with experience
