FLSA: Full-Time, Non-exempt, 12-month

Compensation: $22.00 to $25.00 per hour

Position:

The Administrative Assistant supports the work of Junípero Serra High School to achieve the fullest attainment of the school’s unique Catholic mission: educating men of faith, wisdom, service, community, and leadership. The Administrative Assistant provides the highest quality of clerical services while collaborating closely with other support personnel and establishing appropriate and professional interactions with students, faculty, staff, parents, and the public.

The Administrative Assistant is entrusted with upholding the ethical standards consistent with the teachings of the Roman Catholic Church and the fundamental mission of the school. They serve as a prominent representative, ensuring that all stakeholders understand and adhere to the religious objectives of the institution.

In close collaboration with the Athletic Director, the Athletics Administrative Assistant provides indispensable support to the entire Athletics program. Due to the nature of Athletics, there are some evening, weekend, and irregular work hours that will be required.

Responsibilities:

The Administrative Assistant’s key role is to provide administrative support to the Administration teams as required, including but not limited to the following tasks:

  • Assisting and coordinating with the HR Department with onboarding documentation, timesheets, etc. for coaches
  • Reviewing and approving invoices for processing
  • Sending monthly budget reports to head coaches for review
  • Maintaining athlete and coaching files as needed
  • Greeting and answering inquiries from students, coaches, teachers, parents, opponents, and the public concerning policies and procedures related to the athletic program
  • Receiving and recording all athletic clearance information and physicals
  • Maintaining team rosters with coaches; verifying all student athletes have current physicals/clearance packets
  • Posting athletic ineligibility and notifying Athletic Director and coaches of changes to eligibility list
  • Posting athletic schedules to the athletic calendar, master calendar, and Google calendars
  • Communicating with coaches, transportation, teachers, athletes, and opponents regarding game/time changes, practice updates, and release times
  • Verifying coach training certifications including: first aid/CPR, bloodborne pathogens, harassment prevention, concussion, NFHS, etc.
  • Scheduling necessary classes for coaches as part of coaching certifications
  • Training coaches to use ADP WFN to log hours, review timecards, and resolve discrepancies for payroll
  • Creating awards spreadsheets and sport certificates
  • Working with AD to distribute mobile tickets and parking passes to home staff, visiting staff, and boosters
  • Updating schedule changes both on the website and in the Home Campus database
  • Organizing and coordinating volunteers for home games
  • Other duties as assigned

Qualifications:

  • Excellent organizational and interpersonal skills are needed to work with students, teachers, and the community
  • ADP Workforce Now experience a plus
  • Strong time-management skills and multitasking ability
  • Computer skills necessary: knowledge of Google Suite; Microsoft Word and Excel, Student Management Systems a plus
