The Membership and Operations Administrative Assistant is a key member of a collaborative team that works to empower volunteers to help guide girls as they become the leaders of tomorrow. The Membership and Operations Administrative Assistant will provide direct support to the Membership and Operations team by administering the criminal background screening process for all of the council’s volunteers and seasonal staff, as well as providing general office administration and cross-departmental support to ensure smooth and efficient day-to-day operations. This position interacts with all GSEMA departments and acts as a support member of teams to ensure streamlined operations.
This is a full-time, non-exempt, Monday through Friday office-based, daytime position based in the Girl Scouts of Eastern Massachusetts Waltham office.
Explore Key Responsibilities:
Criminal Background Screening Process:
- Enter and track data in the state’s CORI and SORI systems to complete criminal background screenings, including interacting with volunteers as needed to obtain required information. This role does not determine volunteer eligibility.
- Enter criminal background screening information into Salesforce database for each member.
- Manage the tracking and filing of forms as required by state regulations.
General Office Admin Support:
- Gather mail from multiple onsite locations daily and distribute to appropriate internal mailboxes.
- Answer the door to greet members and visitors.
Cross-Departmental Team Support:
- Support Program team with data entry of Girl Scout youth leadership awards information.
- During school vacation programming and during summer season, assist camp by acting as a unit counselor or in other roles.
- Support set up and distribution of IT equipment to staff.
- Replenish office supply inventory in multiple offices.
- Maintain confidentiality on behalf of the Girl Scout organization and in accordance with the GSEMA Comprehensive Information Security Program (CISP).
Essential Skills and Qualifications:
- Minimum of 2 years of previous experience in an office setting.
- Data entry experience utilizing Excel and multiple databases.
- Proficient in the use of Microsoft Windows and Office software; demonstrated ability to learn and become proficient with new technology and databases; Salesforce experience a plus.
- Self-starter who can work independently and as part of a team, and take initiative; is flexible, adaptable, organized, and has strong attention to detail.
- Able to communicate clearly orally and in writing; ability to communicate with customers and colleagues through various means such as email and Zoom.
- Skills in planning, organizing, and prioritizing work activities using time effectively. Anticipates and meets all deadlines.
- Girl Scout membership experience is a plus.
- Bilingual skills are desirable.
