Salary: $45,000 - $58,000 Annually
Position Overview:
Our client, a leading commercial real estate firm specializing in retail properties, is seeking a proactive and detail-oriented Retail Property Assistant. This role will directly support the Property Manager in overseeing a portfolio of 25-30 retail properties. The ideal candidate will have retail property management experience and thrive in a fast-paced environment, where multitasking and prioritizing tasks is essential. Key Responsibilities:
Lease Administration: Assist with lease administration duties, including creating memos, letters, and related documents for retail tenants.
Vendor Management: Manage relationships with retail property vendors, ensuring that service agreements and contracts are fulfilled efficiently.
Property Inspections: Conduct retail property inspections, generate reports, and assist in preparing annual budgets for each property.
Financial Management: Assist with data entry and prepare monthly reports; ensure accurate posting of rents and recurring services specific to retail tenants.
Tenant Relations: Respond to retail tenant inquiries, resolve concerns, and ensure strong relationships with tenants.
Support Senior Property Manager: Work closely with the Senior Property Manager to coordinate tenant improvements, resolve issues, and ensure smooth operations at retail properties.
Document Coordination: Prepare and maintain service and construction agreement documents for retail properties.
Compliance: Ensure all retail property services are provided in accordance with policies, regulations, and lease agreements. Maintain certificates of insurance for retail tenants.
Ongoing Tenant & Vendor Communication: Assist with day-to-day communications for tenants and vendors, supporting the overall retail property needs.
Miscellaneous Tasks: Provide support as needed, including assisting with additional property management duties as directed by the Property Manager or Senior Property Manager.
Skills & Qualifications:
Experience: Proven experience in retail property management or a similar role, with a focus on managing retail properties, leases, and tenant relations.
Communication: Strong verbal and written communication skills; ability to work with tenants, vendors, and leadership effectively in the retail property space.
Organizational Skills: Excellent organizational and time management skills, capable of managing multiple retail properties and tasks simultaneously.
Problem Solving: Strong interpersonal skills and the ability to manage tenant and vendor relationships effectively.
Flexibility: Comfortable working in a fast-paced retail environment and adapting to changing priorities while maintaining attention to detail.
Availability: This is an in-office role with a schedule of 9:00 AM – 5:00 PM, Monday to Friday.
Ideal Candidate Profile:
The ideal candidate will have prior experience in retail property management and be highly organized, detail-oriented, and self-driven. The Retail Property Assistant will act as a key support to the Property Manager, managing day-to-day operations, lease administration, tenant relations, and vendor management. Strong communication and organizational skills are critical to success, along with the ability to manage multiple properties and meet deadlines in a fast-paced environment.
