Job Description Summary:

This position will assist the University Events and Information Technology Department set up, operate, and troubleshoot audiovisual (A/V) equipment for university-wide events, external events, and summer camps. This role is critical in ensuring the smooth execution of events by providing on-site A/V support and collaborating with the University Events Director, Events Assistant, and other stakeholders to meet event-specific needs.

Key Responsibilities:
  • Set up and configure audio-visual equipment like projectors, screens, microphones, speakers, cameras, and lighting systems according to event requirements
  • Connect cables and ensure proper signal flow for flawless audio and video delivery.
  • Provide on-site technical support to presenters and attendees during events, addressing any equipment-related concerns in real-time
  • Test A/V equipment functionality before events and proactively troubleshoot any issues to minimize disruptions
  • Collaborate with University Events and IT to understand AV needs, requirements, and expectations for each event
  • Coordinate room setups and layouts based on event requirements
  • Maintain, clean, and store AV equipment responsibly after events
  • Perform preventive maintenance and basic repairs on equipment, reporting issues to the appropriate personnel
  • Keep an updated inventory of all AV equipment, including status and condition reports
  • Respond promptly to technical requests from event organizers and attendees
  • Providing basic training on equipment operation to users when needed
  • Support live streaming and/or hybrid events as required
Qualifications

Required Skills and Qualifications
  • Technical Knowledge: Strong understanding of audio-visual equipment, including microphones, speakers, projectors, and cameras
  • Problem-solving: Ability to troubleshoot technical issues quickly and efficiently under pressure
  • Customer Service: Excellent communication and interpersonal skills to interact effectively with diverse groups of students, faculty, staff, and external clients
  • Physical Ability: Ability to lift and move heavy equipment as part of the setup process
  • Flexibility: Availability to work flexible hours for a minimum of 20 hours a week, including evenings and weekends, based on event schedules
Preferred Qualifications:
  • Experience providing A/V support for events, conferences, or performances.
  • Familiarity with A/V software and control systems like Crestron or similar platforms.
  • Basic understanding of live streaming platforms and hybrid event setups (Microsoft Teams).
  • Prior experience working in higher education or with large-scale event support.
