Job Description
We are offering a long term contract employment opportunity for a Receptionist in Salem, Massachusetts. This role primarily involves managing the front desk operations of a busy office environment.
This is a part time position. Tuesday - Thursday 9am - 2pm
Responsibilities:
• Greet and direct visitors, ensuring they feel welcome and comfortable.
• Handle all incoming and outgoing communications, including phone calls and emails.
• Efficiently manage appointments, including scheduling, rescheduling, and confirming as necessary.
• Ensure all data entries are accurate and up-to-date in the system.
• Distribute necessary paperwork to appropriate parties.
• Maintain an organized filing system for easy access to information.
• Use Microsoft Excel, Outlook, and Word for various administrative tasks.
• Provide exemplary customer service, resolving customer inquiries promptly and professionally.
• Utilize a multi-line phone system effectively to manage calls.
• Maintain a detail oriented demeanor and strong interpersonal skills at all times.
• Entry level position, no previous experience required• Ability to proficiently manage a multi-line phone system
• Strong customer service skills, with the ability to interact with clients and staff in a detail oriented manner
• Competency in data entry tasks, ensuring accuracy and attention to detail
• Experience or comfort with email correspondence, maintaining a detail oriented tone and manner
• Excellent interpersonal skills, with the ability to effectively communicate and build relationships
• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word
• Organizational skills with regards to file management, ensuring easy accessibility and order
• Capability to schedule appointments, manage calendars, and coordinate meetings effectively
