Process Home is a premium interior design studio specializing in custom furniture, upholstery, woodworking, and high-end design-build projects. In addition to supporting the business, the Executive Assistant will also oversee the management of the owner’s household, employees, and personal projects. This is a multifaceted role requiring exceptional organizational skills, discretion, and a proactive approach to both professional and personal responsibilities.

 

Position Overview:

 

The Executive Assistant will act as the central hub for managing the owner’s professional and personal life. This includes coordinating business operations, overseeing the family’s household and budget, managing employees, and ensuring seamless communication across all aspects of the owner’s responsibilities.

 

Key Responsibilities:

 

Administrative & Business Support:

• Manage the owner’s calendar, including business and personal appointments, travel arrangements, and deadlines.

• Prepare agendas and take detailed notes for meetings, ensuring timely follow-up on action items.

• Draft and manage professional and personal correspondence.

• Maintain confidentiality and discretion at all times.

 

Household Management:

• Oversee the daily operations of the owner’s home(s), ensuring everything runs smoothly.

• Coordinate maintenance, repairs, and vendors for the household(s).

• Manage household budgets, ensuring expenses are tracked and reported accurately.

• Assist with scheduling family activities and events, including the owner’s son’s travel schedule and extracurriculars.

 

Employee Oversight:

• Supervise and coordinate household and business staff, including interior designers, contractors, assistants, and vendors.

• Conduct onboarding for new employees and maintain ongoing training where needed.

• Manage schedules, assignments, and performance expectations for all team members.

 

Project Coordination:

• Track deliverables, timelines, and budgets for both personal and professional projects, including construction and design jobs.

• Coordinate inventory-focused campaigns and business initiatives like “The Edit” and “The Inventory Edit.”

• Oversee new processes, such as bi-monthly order cycles and Shopify inventory management.

 

Family Budget Management:

• Track and manage household and business expenses to ensure alignment with financial goals.

• Work closely with the owner on budget planning and ensure adherence to financial priorities.

• Handle bill payments, vendor contracts, and recurring expenses.

 

Marketing & Social Media:

• Assist in executing Instagram-driven campaigns and managing social media calendars.

• Organize and curate digital assets for promotional purposes.

 

Qualifications:

• Proven experience as an Executive Assistant or Household Manager in a similar role.

• Strong financial management skills, including budgeting and expense tracking.

• Exceptional organizational and multitasking abilities.

• Proficiency in tools like Office 365, Apple software, and project management platforms (Shopify experience is a plus).

• Discretion in handling sensitive personal and business matters.

• Familiarity with interior design, construction, or household management is preferred.
