Position Overview
We are seeking a highly organized and proactive talent with hiring and operation experience to join our Palo Alto office. This role is pivotal in ensuring the smooth running of our hiring procedure, maintaining compliance standards, running our office operations, and acting as a key point of contact for both internal and external stakeholders. The ideal candidate will be a self-starter with excellent communication skills and a strong attention to detail. This is a 4-5 month contract role to cover for a team member on maternity leave. There is potential for the position to transition to a full-time role based on performance and company needs. Key Responsibilities
Human Resources Support: Facilitate hiring procedure and take the leading role to essure an efficient and professional interview procedure, such as scheduling interviews, candidate communication, and background checks. Monitor internal HR systems and databases, prepare biweekly HR report In charge of on-boarding processes, ensuring a smooth transition for new employees. Address local employee inquiries, including but not limited to onboarding and compliance with labour regulations. Office Administration: Oversee daily operational needs of local employees and collaborate with the international operations team to organize high-level internal events such as workshops, company outings, and off-site meetings. Liaise with external vendors for office management needs to ensure the office environment is orderly, professional, and welcoming. Manage office budge expenditures, process invoices, and handle expense reports. Execute additional ad-hoc tasks as required. Compliance: Assist in coordinating with local governments and organizations for the establishment of local entities, including opening bank accounts and setting up office spaces. Collaborate with the international operations team to create and maintain a compliant work environment for all staff. Communication and Coordination: Foster cooperation with international sites to enhance operational efficiency. Facilitate inter-departmental communication and collaboration to support organizational needs. Requirement
Minimum of 3 years of relevant experience in hr, office management, administrative support, or related roles. Hands-on experience with Human Resources Information Systems and hiring platform. Experience with Lever and Deel is a big bonus. Strong organizational skills to manage multiple tasks, prioritize responsibilities, and sole problems; attention to detail; positive, no-task-too- small attitude, and meet deadlines. Excellent written and verbal communication skills Flexibility to adapt to changing priorities and organizational needs. Able to meet the cross-time zone communication need (not often, but may happen sometimes). Proficiency in Microsoft Office Suite, Google Suite, online tools that facilitate collaboration. Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
