Job Summary:
The Assistant Purchasing Specialist will support the Purchasing team in sourcing products, managing suppliers, tracking inventory, and ensuring efficient procurement operations. You will assist in maintaining strong supplier relationships, managing purchase orders, tracking shipments, and monitoring inventory levels to ensure optimal product availability. This role offers hands-on experience in the purchasing process while learning valuable skills in negotiation, inventory management, and logistics coordination.
Key Responsibilities:
• Vendor & Supplier Support:
• Assist in identifying potential suppliers and supporting the vendor management process. • Help maintain supplier relationships and ensure consistent communication regarding orders and delivery schedules.
• Inventory & Demand Support:
• Assist in monitoring stock levels and providing support for inventory forecasts based on sales trends and market data.
• Collaborate with the warehouse team to ensure inventory processes run smoothly, helping to avoid stockouts or overstocking issues.
• Purchasing & Order Management:
• Assist with issuing purchase orders and follow up on order status and delivery timelines. • Help track shipments, identify potential issues (delays, shortages), and report on status to the team.
• Logistics Coordination Assistance:
• Work alongside the logistics team to ensure timely and cost-effective delivery of goods.
• Provide support in resolving logistical issues related to freight, shipping, and customs compliance.
• Cost Control & Reporting:
• Help maintain cost records and assist in managing budgets for procurement-related activities.
• Assist in generating reports on purchasing activities, supplier performance, and inventory levels.
• Market Research & Trends:
• Conduct research on market trends, pricing changes, and new product opportunities that could benefit the company.
• Assist in tracking product trends and shifts in consumer demand to support purchasing decisions.
Key Qualifications:
• Experience:
• 2-4 years of experience in purchasing, procurement, or supply chain support (preferably in retail or distribution).
• Required Skills & Competencies:
• Strong attention to detail and organizational skills.
• Proficiency in MS Office, particularly Excel; experience with ERP systems a plus.
• Basic understanding of supply chain management and inventory processes.
• Strong communication and team collaboration skills.
• Ability to manage multiple tasks in a fast-paced environment.
• Education:
• Associate's degree in Supply Chain Management, Business Administration, Logistics, or related field (preferred).
• Working towards or completed relevant certifications is a plus.
Additional Requirements:
• Ability to travel occasionally for supplier visits or training.
• Knowledge of basic supply chain or logistics regulations is helpful.
