Job Summary:

The Executive Assistant (EA) will provide high-level administrative support to the Chair of the Department of Surgery, the Department of Pediatrics, the Department of Anesthesia, and multiple Nursing Directors at Beth Israel Lahey Health (BILH). The EA will be a seasoned professional with excellent judgment, strong business acumen, and leadership capabilities. They will thrive in a fast-paced, high-volume environment and be adaptable to changing needs. The EA will handle confidential information with discretion and will be responsible for collaborating with other Executive Assistants within the Hospital and across the BILH System.

Key Responsibilities:
  • Administrative Support: Provide high-level executive support to the Chair of Surgery, Pediatrics, Anesthesia, and Nursing Directors, ensuring that all administrative tasks are executed efficiently.
  • Scheduling & Calendar Management: Manage and prioritize complex calendars, schedule appointments, meetings, and conferences, and anticipate the needs of executives to ensure timely preparation.
  • Communication: Act as a liaison between executives, medical staff, Trustees, and department managers. Draft and proof correspondence, presentations, and documents as needed.
  • Project Coordination: Assist in the preparation of presentations and reports, manage various special projects, and help executives stay on top of priority tasks.
  • Confidentiality: Maintain a high level of integrity and discretion when handling confidential information.
  • Collaboration: Work closely with other Executive Assistants within the organization, ensuring smooth coordination and collaboration across departments.
  • Required Qualifications:
  • Education: Bachelor's degree in healthcare, business, or a related field is preferred, or equivalent professional experience.
  • Experience: Proven experience working at an executive level in a fast-paced, high-demand organization, with demonstrated ability to prioritize and manage multiple responsibilities.
  • Industry Experience: Experience in the healthcare field is strongly preferred, with familiarity in office-based information systems.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and various web applications.
  • Communication Skills: Strong written and verbal communication skills, with the ability to effectively interact with medical staff, executives, Trustees, and department managers.
Preferred Qualifications (if any):
  • Healthcare Expertise: Experience in a healthcare setting, specifically in hospital administration or related fields, would be advantageous.
  • Executive Assistant Experience: Previous experience supporting C-level or senior leadership positions, particularly within a healthcare or academic medical center setting, is highly desirable.
Certifications (if any):
  • Certifications: No specific certifications required, but certifications in office management or executive assistance (e.g., Certified Administrative Professional, Executive Assistant Certification) may be beneficial.
