Scope:

We are seeking a Christ-loving, detail-oriented and highly organized Event Coordinator with strong administrative skills to join our team. Our ideal candidate is someone who is passionate about planning, coordinating, and executing events while managing administrative tasks to ensure seamless operations. Primary responsibilities include, but are not limited to managing calendars, setting meetings, following up on assigned tasks and projects, coordinating event logistics. Our next team member will excel at multitasking, have exceptional communication skills, and come alive in a fast-paced environment.

PreBorn! is a national grant-maker exclusively for pregnancy clinics across the U.S. (and a few beyond)! We empower clinics through providing training, consultation, and equipment to help rescue babies from abortion and bring mothers and their families to the saving knowledge of Christ.

Personal, growing relationship with Jesus Christ. Agreement with and adherence to PreBorn!'s Statement of Faith and Code of Christian Conduct. 100% pro-life. Willingness to intercede before God for the ministry of PreBorn!. Proven experience in event coordination and administrative support roles. Exceptional organizational, time management, and multitasking skills. Ability to adapt quickly to changing priorities and thrive in a fast-paced environment. Ability to work efficiently and maintain composure under pressure and meet deadlines, both individually and as a part of a team. Availability to work flexible hours, including evenings and weekends, as required by event schedules. Strong written and verbal communication abilities. Familiarity with budget management and vendor negotiations and contracts. Proficiency in Microsoft Office Suite, event management, and project management software (e.g., Asana, FundEasy, Cvent). Travel required (as needed). Key Responsibilities:

Event Planning & Coordination:

Collaborate with the team to conceptualize, plan, and execute events, including galas, fundraisers, conferences, and meetings. Source and coordinate with vendors, venues, and service providers to meet event requirements. Develop and maintain event timelines, budgets, and checklists to ensure successful execution. Handle event logistics such as catering, seating arrangements, and audiovisual needs. Provide on-site event support and troubleshoot as needed to ensure smooth operations. Administrative Support:

Maintain organized records of event details, contracts, invoices, and budgets. Help prepare and distribute communications (i.e. invitations, agendas, and follow-ups). Assist in creating promotional materials and managing event-related social media or email campaigns. Track and manage RSVPs and attendee lists using event management software. Compile post-event reports, including feedback and expense summaries. Collaboration & Communication:

Coordinate cross-departmental efforts to align resources and objectives for events. Provide regular updates to Event Team on event progress, challenges, and outcomes.
